This service pack update includes the following enhancements:

eCounsel

  • The Primary Legal Contact, Primary Client Contact, and Primary Vendor Contact can now be added as optional fields on the Matters List page. When added to the grid list, these fields are available by selecting the arrow to the right of the matter name. Although the fields are searchable, you cannot sort on these fields.

The new option in Tools only appears for users who have been granted the Rules Engine Administration security setting in Suite Manager.

IMPORTANT NOTE: A new feature to add user fields to grid lists caused a performance impact that was unacceptable to the integrity of eCounsel and Secretariat. Thus, Update 1 and Update 2 remove this feature using a new darwin property UserFieldsOnGridListEnable=false. Once the feature has been reworked, toggling this property to "true" will re-enable the feature. Any clients who have installed Service Pack 13 should also install Update 1 and Update 2 immediately to disable the feature.

Suite

  • eCounsel and Secretariat are now certified on Oracle 19c databases.
  • For user-defined tabs that are multi-record, the records are automatically sorted by the first column on the grid list.

eCounsel

  • Scripts have been created for the new feature to allow vendors/law firms to submit timekeepers via the Corridor Website. These scripts query the eCounsel matter management system for all approved timekeepers that are active for each vendor/law firm, then transforms the data to be uploaded via database scripts to Corridor with a status of "Approved".

  • The current New Matter Alert rule, which notifies users when they are added as players to a matter, has been replaced by two alerts:
    • New Player Alert - Notifies users when they have been added as a new player on a matter in eCounsel.
    • New Matter Alert - Notifies users when a new matter has been added to eCounsel (the user does not have to be a player on the matter).

  1. If the New Matter Alert rule is installed, use Suite Manager to remove the current alert. The version of the rule should indicate Version 1.0 or 1.1.
  2. Import the New Matter Alert rule using Suite Manager Rules Engine. The version of the rule should indicate Version 1.2.
  3. Import the New Player Alert rules using Suite Manager Rules Engine. The version of the rule should indicate Version 1.2.
  • A new version of the Timekeeper Employment Validation Smart Invoice rule has been created for Oracle databases to remove the case sensitive restriction when using an Oracle database since Oracle is case sensitive by default.

  1. If the Timekeeper Employment Validation rule is installed and you want to use the new Oracle database specific rule instead, use Suite Manager to remove the current alert. 
  2. Import the TimekeeperEmploymentValidationORA.bsi file using Suite Manager Rules Engine. Select the unlimited encryption rule if your site has implemented Java Cryptography Extension (JCE) Unlimited.
  • A new rule, Line Item Date Past Matter Close, allows clients to place an invoice on hold instead of rejecting it if it exceeds the Matter Close Date. This rule places imported invoices "On Hold" and sends an email notification when an invoice line item date is more than a specified number of days after the Close Date.

  • Two new rules, Maximum Expense Values and Maximum Expense Values with Configuration File, allow clients to validate maximum rates, maximum expense rates, expense codes per units, and maximum expense amounts. The Maximum Expense Values rule replaces the Max Rate, Maximum Expense Rate, Expense Rate, Expense Code per Unit, and Maximum Expense Amount rules. To install the rule, you must first install the ruleinstallerhelper rule prior to its installation. The fule uses the following parameters to validate a single code:
    • Expense Code – The expense code that the rule should validate, similar to the current rules (required parameter)
    • Expense Rate – The maximum allowable rate for the given expense code (optional parameter)
    • Expense Hours or Units – The maximum allowable hours or units for the given expense code (optional parameter)
    • Expense Amount – The maximum allowable line item amount (in billed currency) for the given expense code (optional parameter)

The second rule, Maximum Expense Values with Configuration File, allows a client to validate multiple codes and values without having to install the Max Expense Values rule multiple times. Note that this rule can be set to either Warning or Rejection, so your site can install twice, once for codes that cause a warning, and once for codes that cause the invoice to be rejected.

  • A new rule, Require Corridor Attachments Task, has been created to validate that invoices imported from the Corridor Website contain an attachment (not the LEDES file itself but additional supporting document attachments). This rule will not trigger for Collaborati or manually entered invoices in eCounsel.

  • When authenticating the login in Office Link, the default 30-day window for a user's session to remain active has now been enhanced to be a rolling window, meaning that the user's session will remain active until 30 days after the last use of Office Link. If your company has set the OfficeLinkTokenExpiration property (acceptable values in seconds) in the darwin.properties file to timeout the session sooner than 30 days, the value for the property will be used in the rolling window (for example, if OfficeLinkTokenExpiration = 864,000, the rolling window will be 10 days instead of 30 days).

  • When dragging-and-dropping files from Microsoft Outlook into the Office Link Outlook addin, or dragging-and-dropping files from Windows Explorer or the Desktop into the Office addin, these files will be uploaded in the background so that you can continue to use the Microsoft Office product during the upload.

  • For each installation of the Office Link add-ins on a user's computer, a daily log will be saved to the user's folders with the current date (typically, C:\Users\[username]\OfficeLinkLogs). These logs will be deleted after 60 days, as new logs are created.

  • When saving a document to any Microsoft Office product such as Microsoft Word or Excel, you can now search for matters or entities to which to save the document. The matter or entity will be added as the first entry in the Most Recently Accessed list of matters or entities.

  • Deleting an appointment in Microsoft Outlook that is sychronized with eCounsel or Secretariat now removes the invitee from the appointment in the Calendar module of eCounsel or Secretariat. If the person is re-invited in eCounsel or Secretariat, a new appointment will be synchronized with his/her Microsoft Outlook.

  • When installing the add-ins for Office Link, the URLs needed during the installation process can now be made available on the Office Link tab of the Tools | Preferences page. Clicking on the URL allows a user to copy the link and paste directly into the installer for the Outlook and Office add-ins.

Quick Reference to Enable this Feature: A system administrator must first enable the new Show Office Link URL checkbox in Office Link Settings on the Mitratech Suite tab of System Settings component in Suite Manager (see Configuring Suite Manager). Once this checkbox is enabled, users can access by clicking Tools in eCounsel or Secretariat, selecting Preferences, and selecting the Office Link tab.   • For Office Link installers, access to the online user guide on the Mitratech Customer Success Center is now provided. In addition, if you have configured the Office Link installers to be available for eCounsel and/or Secretariat users, the Office Link tab under Tools > Preferences now opens the Mitratech Office Link Installation Guide in the Mitratech Customer Success Center.

  • For Office Link, a setting can be selected in the Office Link Settings under System Settings in Suite Manager so that all events (appointments and tasks) for a user will appear on the user's default calendar. Enabling this checkbox replaces the need for a Mitratech Calendar and makes scheduling events in Outlook for eCounsel or Secretariat easier because all eCounsel or Secretariat events appear on each user's calendar for scheduling purposes.

    eCounsel and Secretariat now supports an integration with Business Objects 4.2 Service Pack 7.

  • Advanced Search Sorting
    When adding fields to be included in results in advanced searches, you can now select up to three fields from the Base Info tab of the selected module to be used for sorting the results. The first sort field selected will be used as the primary field for sorting, and you can select ascending or descending sort. The second and third fields for sorting will be secondary and tertiary sorts, respectively. The results page will indicate the sorting applied to the results using the up or down triangle with a number to indicate the sort order. Additionally, if you save the search results template, the sort order will be saved with the list of fields to include in the report.

  • From Address for Emailed Summaries
    A new system setting has been added for a "Default Email Sender" for all summaries that are emailed from eCounsel or Secretariat. When emailing a summary, the From Address text box will default to the system setting if set. If not, it will default to the primary email address for the associated person for the user sending the summary. Once the value has been changed, the new value will be saved for the user and will be the default in the From Address text box. Update the preference simply by changing the value. This new feature aids clients who have anti-spoofing technology implemented on their mail server. Contact Customer Support for an appropriate value for the global system setting if your product is hosted by Mitratech.

eCounsel

  • Corridor Vendor Timekeeper Alert
    For Corridor integrations, administrators can now import a new Corridor Vendor Timekeepers service provider if Corridor has the option enabled to allow Vendors to send Timekeeper information through Corridor. This service provider imports any timekeepers entered by a vendor in Corridor as a Lobby notification. From the Lobby notification, users can import the timekeepers via the Timekeeper File Import Wizard and accept/reject any changes submitted by the vendor and include a comment for any rejected timekeepers. The status of the submission will then be synchronized with Corridor so vendors can review if timekeeper information was accepted or rejected by the vendor.
    Note: A new system setting, Enable Debug Logging, can be checked in the Invoice Integrations settings page in Suite Manager to log status information that is being returned to Corridor.

  3. Enable the option in Corridor to receive timekeepers from vendors/law firms. See "Enabling Vendors to Submit Timekeepers from Corridor" in the Smart Invoice Guide for Corridor.
  4. Forward instructions for vendors/law firms to submit timekeepers via Corridor. See "Submitting Timekeepers" in the Corridor Guide for Invoice Submitters.
  5. Once a vendor/law firm submits timekeepers, run the Timekeeper File Import Wizard from the lobby notification to accept or reject timekeepers. See "Importing Timekeepers" in the Smart Invoice Guide for Corridor.
  • Corridor Vendor Matters Task
    • For the new enhancement to synchronize matters to Corridor for vendors adding invoices manually to select, an error has been resolved when matters were marked private in eCounsel. In addition, the task has been refactored to add logic to only synchronize matters once. If you are using the additional time period for closed matters to be billed against, set this parameter in Suite Manager, prior to running the updated task.

    • For Corridor integrations, administrators can now specify the number of days after a matter is closed in eCounsel that eCounsel will continue to synchronize matters with Corridor for selection by the vendor/law firm during manual invoice creation. The new Configure Matter Synchronization with Vendors settings are located in Suite Manager in the Invoice Integration Settings in the eCounsel System Settings.

  • Invoice Allocation Check Rule
    When an invoice is created/saved to eCounsel, the total of the allocations must be exactly 100%. A new notification rule (Invoice Allocation Check) can be uploaded and configured to send a warning email if all allocation percentages on an invoice total over 100%.

  • Adjustment Vendor Comments Rules
    A new validation rule, Adjustment Vendor Comments, has been added to the Smart Invoice premium rule library for enabling in eCounsel. The rule sends an email to the email address on the Billing Info tab for the vendor with a comment to the vendor if an invoice is adjusted or discounted at the invoice level once the invoice is posted. This rule includes a workflow rule, a validation rule, customizable property files for each rule, a library file, and a customizable email template. Please review the installation instructions included with this package to install all the components of the rule to ensure that it works properly.

  • Multiple Jurisdiction Taxes for Manually Entered/Edited Invoices
    For manually entered invoices in eCounsel, you can now add multiple jurisdiction taxes to the same line item (manual invoices were previously limited to a single jurisdiction tax only).

  • Phases and Tasks Available on Invoice Details Grid
    On the Matters tab of the Invoices module, you can now add the Phases and Tasks fields to the Invoice Details grid.

  • Timekeeper File Import Wizard Enhancements
    • When using the Timekeeper File Import Wizard, now the existing timekeeper rate and percentage difference from the newly submitted rate will appear on the main screen of the wizard to aid in accepting timekeepers.

    • The Timekeeper File Import Wizard has been enhanced to display the primary information for accepting a timekeeper on the first line of each record (Change Type, Admin Number, Last Name, First Name, Middle Name, Suffix, Job Classification, Existing Rate, Proposed Rate, % Rate Change, Billing Method, Currency, Begin Date, and End Date). Expand the record to view secondary information (Prefix, Title, Business Phone, Cellular Phone, Fax, E-mail, Race/Ethnicity, and Gender).

    • The Timekeeper File Import Wizard has been enhanced so that if you have hidden the Ethnicity and Gender fields in eCounsel by view profile, data from these fields will not be saved to the database.

  • Collaborati LEDES File Attachments in the Invoices Module
    For Collaborati integrations for electronic invoicing, the LEDES file submitted by the vendor is now attached to the invoice in eCounsel when the invoice is retrieved from Collaborati.

  • Corridor Configure Invoice Submission Period Settings
    For Corridor integrations, administrators can now specify the number of days after a matter is closed in eCounsel that eCounsel will continue to accept invoices. The new Configure Invoice Submission period setting is located in Suite Manager in the Invoice Integration Settings in the eCounsel System Settings. This setting is factored into the list of matters the client can access through Corridor if the Corridor Vendors Matters scheduled task is enabled (a matter will continue to synchronize with Corridor for the vendor until the specified number of days after the matter is closed).

  • New Matter Wizard Configuration Tool
    System Administrator can now specify a sub-tab to be placed on a New Matter Wizard so that users can fully define a new matter. When entering data on the new matter, you must enter a main tab record to which the sub-tab record belongs.

  • Advanced Search Cross-Object Searching
    Users are now able to search for fields across the modules. For example, previously, if a user searched for costs information for a matter, the user could not see certain invoice data, such as the exported date, and if running an invoice search, the user could not see all of the matter data. Now, if a user wants to search matter data and include invoice information, the user can include certain invoice fields. The following fields are now searchable across modules:

  • Disable Auto Load for Timekeeper Rates
    Originally, if timekeepers were added to a matter, the rate was automatically loaded. However, this rate would not be updated and when new rates were loaded to the system, the invoices would fail because the rates were out of sync. You can now disable the auto load rate on the eCounsel  Invoice Settings tab in Suite Manager by unchecking the Timekeeper Rates from Matter Players checkbox.

  • Corridor Matter Vendors Task
    In Corridor, vendors can now select eCounsel matter numbers from a list of matters that list the vendor as a player when they are manually submitting an invoice. Note to eCounsel users: Vendors are now able to see eCounsel matter names and numbers that list the vendor as a player. Matters only sync for vendors if the client installs and runs the "Corridor Vendor Matters" task.

  • Matters Preference Settings
    In the Matters tab of the Tools | Preferences page, users can now configure the default values for Legal Section, Matter Type, and Logical Group when a new matter is created. These settings will appear each time you create a new matter in the popup to select Legal Section, Matter Type, and Logical Group. You can then change the settings for the matter being created.

  • Timekeeper Export
    Users can now send vendors a list of current active timekeepers and corresponding information so that vendors can update timekeepers that are no longer valid and should be end dated. From the vendor's Employee tab, click the new Timekeeper Export button, select the date range and integration format (Collaborati or Corridor), and click Export. The results will be exported into a CSV file that can be modified and re-imported using the Timekeeper Import File Wizard.

  • Advanced Search Enhancements
    • In Advanced Search, Lookup fields now have drop-down values that the user can select.

    • In Advanced Search, all fields on a tab/page are now displayed in the order they appear on a screen and user fields are separated from standard fields at the end of the list.

Quick Reference to Enable this Feature: These features are enabled by default. For lookups, simply select a value from the dropdown list if the field is a Lookup data type. For example, adding Matter Status to a search would allow you to select from any value from the Lookups component in Suite Manager (such as Active, Closed, etc.).

  • Collaborati Configure Invoice Submission Period
    With a Smart Invoice integration with Collaborati, two enhancements have been added for invoicing timeframes:
    • Invoices can now be billed against a matter after the matter has closed.
      Tracking code: UPD-9422
      Known Issue: For matters that were closed prior to installation of Suite 8.11.0 Service Pack 9, these matters will not automatically be updated in Collaborati as billable. Workaround: Re-activate the matter player record for the vendor, synchronize the change with Collaborati using the Smart Invoice task. These steps will make the matter available to the vendor for billing for the duration of the time period entered in Suite Manager. After the matter is available in Collaborati, add the end date for the vendor player record in eCounsel.
    • Vendors can now submit a prior year's invoice in the new year if the timekeeper was not currently an active timekeeper.

  1. On the Suite Manager control panel, click the System Settings component in the System Configuration area.
  2. On the System Settings window, click the eCounsel tab, and then click Invoice Integration Settings.
  3. In the Configure invoice submission period area:
  4. Type the number of days after a matter's end date that the vendor is allowed to submit invoices.
  5. Type the number of days after a timekeeper’s employment end date that the vendor is allowed to submit invoices.
  6. Click Save.
  • Invoices Grid List
    When viewing the Invoices list, users now have the option to display, sort, and search on the date that the invoice was exported to AP. To add the column to the Invoices list grid, click Options, scroll to Exported Date in the Available section, click the right arrow to move it to Selected, and then click OK. Because the exported date includes milliseconds, you must include the milliseconds for search involving the "Equal To" qualifier. However, you can use "greater than" and "less than" with a date only.

Click Download to open or save the file to your local machine.

    • In addition to SAP BusinessObjects Business Intelligence Platform 4.1 SP 4, Suite now supports SP 9 which supports Microsoft SQL Server 2016. If you are using Microsoft SQL Server 2016 with Suite 8.11.0 and have an integration with Business Objects 4.1, you must upgrade to SP9 for Microsoft SQL Server 2016 support with Business Objects.

  • Options for Calendar Task Grid
    In the Calendar module, the Calendar tab in the Matters module (eCounsel), and the Entities module (Secretariat), the Calendar List page now has two new optional columns for tasks: % Complete and Completed Date. These two columns apply only to tasks. If the Calendar List page is not filtered by tasks, appointments will have no value for these fields.

    Help links now direct the user to the appropriate area in the new Mitratech Client Success Center.

  • CSC Integration
    • Due to CSC deprecating the XML Import integration method and creating an API integration, Suite has been updated to support the new API integration. 
    • In the Suite Manager Lobby component, users can now enter an API Key for the CSC Service of Process (SOP) provider task when scheduling the SOP. This new parameter is required to support the updated API from CSC.

  • Lobby Widget Enhancements
    • Users can now retrieve Lobby notifications that have been dismissed by clicking the down arrow in the upper-right corner of the Lobby widget, selecting Retrieve Notifications, and specifying the date range for the notifications to be retrieved. 
    • To prevent issues with memory, pagination has been added to the Lobby widget. 

Note:

  • The initial number of notifications in the lobby widget is 5 items per page. When a user changes the number of items per page, the number will revert to 5 when the user leaves and returns to the homepage.
  • When the homepage has multiple Lobby widgets and a user retrieves notifications, all the retrieved alerts appear on the multiple widgets. When deleting alerts from one widget, refresh the other widgets.

  • SuperViewer Fields
    For SuperViewer, Sub-type and Region fields have been added to the Entities Selection List page, Entity Information page, and Data Sheet. Administrators can show or hide these fields by selecting the options on the Entity Data Sheet Options page.

  • CorpCharts
    CorpCharts can now display complex ownership structures, including entities owned by multiple parents and recursive ownership. Users can configure CorpCharts to display multiple owners in a number of ways: 
    • Display the subsidiary under the owner who owns the highest percentage and include a footnote showing the names of other owners
    • Display the subsidiary multiple times, once under each owner
    • Display the subsidiary under the owner who owns the highest percentage and then draw lines to other owners if they are displayed on the chart

  • Securities - Autocalculation
    • Users can now determine if share values for an individual security record can be automatically calculated based on the transaction ledger. Previously, only administrators could change this value and it was applied globally, to all records. This option is found on the Securities Base Info tab.
    • The system now validates shares so that you cannot redeem more shares than have been issued to a particular owner.
    • The Transaction Ledger tab now features a summary section that automatically calculates the following fields: 
      • Authorized – Total number of authorized shares. If no shares have been authorized, this field remains blank.
      • Issued – Total number of issued shares (outstanding + treasury).
      • Outstanding – Total number of shares owned by investors (issued – redeemed).
      • Treasury – Total number of shares owned by the entity and available to be issued to an owner (authorized – outstanding). If no shares have been authorized, this field remains blank.
      • Cancelled – The total number of certificated shares that have been cancelled by the entity
      •  Current Shareholders – The total ownership of shares by each current owner. 
    • The History tab now calculates the following fields from the Transaction Ledger when automatic calculation is enabled on the Securities Base Info tab: 
      • Treasury 
      • Outstanding 
      •  Authorized 
    • Previously, when a user wanted to add more shares to the authorized number of shares, they had to create a new transaction that included the new total number of shares. Now, when automatic calculation is enabled on the Securities Base Info tab, the value entered in the field is added to the total of the last record, and the result is displayed in the Authorized field.
    • If Unlimited is selected on the Securities (Debt) Base Info tab, the results will display "Unlimited" instead of the number of shares.

  • Securities - Sorting and Filtering
    • On the Dividend tab, users can now sort security equity dividends by Declaration Date. 
    • On the Distribution tab, users can now sort security (Partnership Interests) distributions by Payment Date. 
    • On the Payments tab, users can now sort securities debt payments by Payment Debt. 
    • On the Note Transaction tab, users can now sort debt record transactions by ownership. 
    • On the Transaction Ledger tab, the records filter function has changed. When you click the All records/Current records as of Today/Date range icon, the Date Range Prompt dialog box offers three options: 
      • Current Records as of Today 
        • Summary calculations at the top of the page show the sum of all shares issued minus sum of all shares redeemed where transaction date is less than or equal to today.
        • The transaction grid shows all records where transaction date is less than or equal to today.
      • All Records
        • Summary calculations show the sum of all shares issued minus sum of all shares redeemed.
        • The transaction grid shows all records.
      • Date range
        • Summary calculations show the sum of all shares issued up until the “To” date of the filter minus all shares redeemed up until the “To” date of the filter. Note: the summary ignores the “From” date of the filter.
        • The transaction grid shows only records where transaction date falls on or between the “From” and “To” dates of the filter.
    • The Entities Summary page now only displays current data. Historical data is no longer displayed. 
    • The Securities tab is now streamlined only to display the sections for Equity, Debt, or Partnership Interest if that entity has those types of securities.

  • Reports
    • The Securities Ownership Report now offers a View History option to include or omit historical information such as former owners and issue history records. 
    • Secretariat report footers have been rebranded with the Mitratech company name.
    • The Corporate Data Sheet has been redesigned for better usability, including streamlined headers and new information for current and former owners of securities.

eCounsel

  • Invoices Summary Enhancements
    • When a user needs to make an invoice-level change to an existing invoice, the change is now called “Adjustment” instead of “Discount.” 
    • On the Invoices Summary page, users now are able to move directly to the next or previous invoice by clicking the Next or Previous button without having to go back to the Invoices List page. When you select a filter on the Invoices List page, the invoices are ordered according to that list.
    • Users can now suppress all invoice line item warnings for an invoice on the Invoices Summary page by clicking the Bulk hide line item warnings checkbox on the Base Info tab.

  • Invoices Grid Options
    A new optional field, Posted Date, has been added to the Invoices List page. When users select the Posted Invoices filter, the field automatically appears in the grid and the user can sort on the posted dates.

  • People Employment Grid Options
    On the Employment tab, new columns show the Timekeeper Rate and Timekeeper Rate % Change.

    Timekeeper ID now appears as a searchable field on the Player tab for a matter. This ID is the Admin Number of the person if the person is a timekeeper and is also used to identify the timekeeper outside of eCounsel.

  • Invoices Dynamic Filters
    Matter Name is now an option in the following invoice filters:
    • Most recently accessed invoices
    • All Invoices
    • Approved Invoices
    • Imported Invoices
    • In process invoices
    • On hold invoices
    • Paid invoices
    • Posted invoices
    • Rejected invoices

By default, the Matter Name field does not appear in the grid. If Matter Name is added to the grid, users are not able to sort on the field and performance will be slower. If an invoice involves multiple matters, only the first matter name appears.
