Scheduled Tasks - The Basics

Hold Administrators can run several scheduled tasks that allow them to automate emails and notifications to different sets of users.

What are Scheduled Tasks?

Hold administrators can run several scheduled tasks that allow them to automate emails and notifications to different sets of users. It also allows them to send a single notification (digest) for some workflows as opposed to sending out individual emails to a user each time they are associated with a task or a reminder threshold is reached. 

Scheduled tasks that administrators can set and edit are People Import, Escalation emails, and Custodian Reminder Emails. From the Scheduled Task list, administrators can manually run a scheduled task, edit the schedule, and edit the text that is sent in the respective emails and notifications.

Note: Additional tasks cannot be added.

Quickly View the Scheduled Details

The Scheduled Task List can be found by selecting the Scheduled Task module on the home page. On the Scheduled Tasks list, you can view the existing schedule and relevant details by clicking the + to the right of the respective task.

These tasks can be scheduled to run on demand or on a daily, weekly, or monthly schedule. Tasks can be manually started, stopped, rescheduled, or unscheduled at any point. 

Fields on the Scheduled Task List

Table Columns Description and Details
Task Name The task names are pre-loaded and are not editable by administrators.
Last Run Time Displays the date and time of the last run scheduled task.
Note: Only displays if a task is scheduled to run.
Task Duration Displays how long it took to complete the task from start to finish.
Note: Only displays if a task is scheduled to run.
Next Schedule Displays the date and time that the next report will be run.
Note: Only displays if a task is scheduled to run.
Last Changed Displays the most current date any edits were made to the scheduled task.
Note: Only displays if a task is scheduled to run.
Changed By Displays the role of the user who last made changes to the scheduled task.
Status Displays if the scheduled task was a success or failure after the latest run.
Note: Only displays if a task is scheduled to run.
Actions

Edit - Selecting will open the Edit Task page.
Run Now - Selecting will run the task.
Stop - Stop or pause a scheduled task.
View History - Selecting will open the View History page. 

Select the Start_ScheduledTask.png or Stop_ScheduledTask.png buttons to manually run or stop a scheduled task.
