Mitratech Office Link 3.1.0

Mitratech Office Link 3.1.0 includes the following add-ins:

  • Mitratech Office Link Outlook Add-in for integration with Microsoft Outlook
  • Mitratech Office Link Office Add-in for integration with Microsoft Word, Excel, and PowerPoint

You must install each add-in separately. For complete installation and configuration details, see the Mitratech Office Link Administrator Guide.

System Requirements

Mitratech Office Link 3.1.0 has the following system requirements:

  • Suite 8.11.0 Service Pack 13 or later
  • Microsoft Outlook 2013 or 2016 (for Mitratech Office Link Outlook Add-in)
  • Microsoft Word, Excel, and PowerPoint 2013 or 2016 (for Mitratech Office Link Office Add-in)
  • .NET 4.6.1 (the add-in installers will install this version if not already present)

In addition to these system requirements, Mitratech Office Link also requires the following:

  • Mitratech Office Link add-ins must be installed and configured on each user’s local machine.
  • Any previous installations of Bridgeway Calendar Link must be disabled.
  • Mitratech Office Link must be enabled in Suite Manager.
  • Appropriate user permissions much be granted in Suite Manager.
  • If you are using both eCounsel and Secretariat in a non-integrated scenario where eCounsel is deployed in a separate instance from Secretariat, Mitratech Office Link can only support one application (either eCounsel or Secretariat, but not both).
  • If you are using SiteMinder authentication, see the “Configuring a Web Agent for Mitratech Office Link” section of the Login Authentication Guide.

Upgrade Considerations

Mitratech Office Link 3.1.0 is only supported with eCounsel and Secretariat. Previous versions of Bridgeway E-mail Link, Bridgeway Calendar Link, and Bridgeway Link need to be disabled before using Mitratech Office Link.

  • Office Link addins now support TLS (Transport Layer Security) 1.2.

  • The Office Link installers now use a certificate to validate the installer so that antivirus software will not flag as a risk.

  • A new setting, "Keep plug-in enabled after restarts", has been added to the Office Link Outlook add-in to mitigate the possibility of the add-in being disabled.

  • When authenticating the login in Office Link, the default 30-day window for a user's session to remain active has now been enhanced to be a rolling window, meaning that the user's session will remain active until 30 days after the last use of Office Link. If your company has set the OfficeLinkTokenExpiration property (acceptable values in seconds) in the darwin.properties file to timeout the session sooner than 30 days, the value for the property will be used in the rolling window (for example, if OfficeLinkTokenExpiration = 864,000, the rolling window will be 10 days instead of 30 days).

  • When dragging-and-dropping files from Microsoft Outlook into the Office Link Outlook addin, or dragging-and-dropping files from Windows Explorer or the Desktop into the Office addin, these files will be uploaded in the background so that you can continue to use the Microsoft Office product during the upload.

  • For each installation of the Office Link add-ins on a user's computer, a daily log will be saved to the user's folders with the current date (typically, C:\Users\[username]\OfficeLinkLogs). These logs will be deleted after 60 days, as new logs are created.

  • When saving a document to any Microsoft Office product such as Microsoft Word or Excel, you can now search for matters or entities to which to save the document. The matter or entity will be added as the first entry in the Most Recently Accessed list of matters or entities.

  • Adding, deleting, and/or updating appointments have been refactored for performance.

  • Deleting an appointment in Microsoft Outlook that is sychronized with eCounsel or Secretariat now removes the invitee from the appointment in the Calendar module of eCounsel or Secretariat. If the person is re-invited in eCounsel or Secretariat, a new appointment will be synchronized with his/her Microsoft Outlook.

  • Because you must have the Outlook add-in enabled to use the Office add-in since these two add-ins share document features, the checkbox to enable the Office add-in has been moved to be to the Enable Add-in for Outlook section on the Office Link Settings in the Suite Manager System Settings component.

  • When installing the add-ins for Office Link, the URLs needed during the installation process can now be made available on the Office Link tab of the Tools | Preferences page. Clicking on the URL allows a user to copy the link and paste directly into the installer for the Outlook and Office add-ins.

Quick Reference to Enable this Feature:  ​​A system administrator must first enable the new Show Office Link URL checkbox in Office Link Settings on the Mitratech Suite tab of System Settings component in Suite Manager (see Configuring Suite Manager). Once this checkbox is enabled, users can access by clicking Tools in eCounsel or Secretariat, selecting Preferences, and selecting the Office Link tab. Clicking on the URL link copies the link to the Clipboard where it can be pasted into the Outlook or Office add-in installer. See Installing the Add-ins for more information.

  • Deleting an appointment in Microsoft Outlook that is synchronized with eCounsel or Secretariat now removes the invitee from the appointment in the Calendar module of eCounsel or Secretariat. If the person is re-invited in eCounsel or Secretariat, a new appointment will be synchronized with his/her Microsoft Outlook.

  • For Office Link installers, access to the online user guide on the Mitratech Customer Success Center is now provided. In addition, if you have configured the Office Link installers to be available for eCounsel and/or Secretariat users, the Office Link tab under Tools Preferences now opens the Mitratech Office Link Installation Guide in the Mitratech Customer Success Center.

  • For Office Link, a setting can be selected in the Office Link Settings under System Settings in Suite Manager so that all events (appointments and tasks) for a user will appear on the user's default calendar. Enabling this checkbox replaces the need for a Mitratech Calendar and makes scheduling events in Outlook for eCounsel or Secretariat easier because all eCounsel or Secretariat events appear on each user's calendar for scheduling purposes.

Issue Resolutions

The following issues were resolved in Mitratech Office Link 3.1.0.

  • Removed the following statement from the logs since it was incorrectly logged as an error: Client.OfficeRestClient [auto refresh] - Error raised when invalid list of ids., details:

  • For attachments in Office Link, modifying the metadata no longer returns an error.

  • Dragging-and-dropping a document in the Office Link addin from a Cloud location such as Google Drive now properly adds the file to eCounsel/Secretariat.

  • When installing and logging into the Outlook addin and Office addin, the credentials entered when installing the Outlook addin will be used when installing the Office addin. If you change the credentials in the Office addin, it will impact the Outlook addin and vice versa since the addins share a configuration file.

  • For Office Link, the Matters Most Recently Accessed filter no longer includes new matters to which a player had been assigned if the new matter has not been recently accessed.

  • When calendering is disabled in Suite Manager for Office Link, appointments and tasks in Microsoft Outlook are no longer updated. If calendaring is re-enabled, any appointments/tasks added to the Mitratech Calendar used by Office Link will be overwritten by eCounsel or Secretariat.

  • When editing the metadata of an item, selecting the Update Outlook Category checkbox no longer returns an unhandled exception.

  • For Mitratech Office Link, if an appointment is created in eCounsel or Secretariat without an end date and end time, eCounsel will send the appointment to Microsoft Outlook invitees as an all-day appointment. If the end date and end time were omitted in error, resolve the issue in either eCounsel or Secretariat (by adding an end date and end time to the appointment so that it resyncs with Microsoft Outlook) or in Microsoft Outlook (by removing the All-day event designation and specifying the duration of the appointment so that it resyncs with eCounsel or Secretariat).

  • For Mitratech Office Link, if an appointment is created in eCounsel or Secretariat as an All-day event, it is no longer necessary to specify the end date and end time. eCounsel or Secretariat will send the appointment as an all-day event to Microsoft Outlook. For multi-day all-day events, simply specify an end date and time that is past the start date.

Known Issues

The following item(s) are known issues in Mitratech Office Link 3.1.0.

General

Issue: When the document upload size limit is configured and a user updates a file and increases the size of the file above the size limit, no warning is displayed.

Issue: When using an Oracle database and copying a matter using Create Series and an incremental suffix, the Most Recently Accessed filter does not display the matters in the correct order.)

Issue: If a user opens PowerPoint or Excel before the setting are configured in Word, the user receives an error message stating the add-in has fired an exception. Solution: Configure the URL setting in Word and allow the settings to initialize before opening PowerPoint or Excel. To prevent this issue, configure the settings during installation.

Logins and User Access

Issue: If a user logs into Mitratech Office Link through one of the Microsoft Office applications (Microsoft Word, Excel, PowerPoint, or Outlook), the user is logged into Mitratech Office Link in all the Microsoft applications. However, if the user logs out from only one of the applications, the user is not logged out from all of them. In order to completely log out of Mitratech Office Link, users must log out of all Office products (Word, Excel, and PowerPoint) that they have opened during the login session, plus Outlook.

Issue: If a user is marked inactive or locked out in Suite Manager while the user is logged into Mitratech Office Link, the document folders still display in the Mitratech Office Link pane and the user can still attach documents to matters or entities. However, after the user logs out of Mitratech Office Link, the user is not able to log back in.

Appointments and Tasks

Issue: When a task is created in Microsoft Outlook, assigned to users, and then shared with Suite, only the user creating the task is assigned the task; no other invitees are assigned. Use eCounsel or Secretariat to assign tasks to other people.

Issue: When an appointment is created in Microsoft Outlook, assigned to users, and then shared with Suite, the system returns a “This event is no longer available” message and the user who created the appointment is not invited to the appointment, but the other invitee is. Use eCounsel or Secretariat to invite attendees to appointments.

Issue: When Mitratech Office Link is synced with a database and then the database is changed, appointments and tasks should display “The event does not exist in source application.” Instead, some appointments and tasks are not displaying the message. The best practice is to not change the database.

Issue: Deselecting the Load appointments at startup checkbox in Suite Manager after the system has synced does not remove synced events.

Issue: Updating or deleting event categories from Lookups in Suite Manager removes the event category from Outlook appointments.

Documents

Issue: When a user copies a document and right-clicks the document grid for a different entity that is read-only, the Paste option appears enabled in the context menu. However, if the user tries to paste the document into the read-only area, an error message does appear and the user cannot paste the document.

Issue: Changing document metadata (such as the file name) from Mitratech Office Link causes issues when opening the document.

Issue: For matters, when a document type is read/write access using a view or type profile, but the document attachments sub-tab is read only, users can still drag-and-drop and copy-and-paste a document even though the attachments sub-tab is read-only.

Issue: When a user opens more than one instance of a PowerPoint presentation from the Mitratech Office Link pane and then tries to save an updated version, the system returns an error.

Issue: In Microsoft Windows 10, if a user tries to drag-and-drop a folder instead of a document, the user receives an error message stating “Object reference not set to an instance of an object.” The message should state that this action is not allowed.

Issue: If a user clicks a folder name in the Mitratech Office Link pane, the documents in that folder are not displayed. In order to display the documents, click the + node for that folder.
Tracking code: STE-13976

Issue: When a user uploads a file that is larger than 90MB, sometimes the system logs a time out exception or an outOfMemory exception. The time-out exception error results from exceeding the 10-minute time limit that the add-in is allotted to respond. The outOfMemory exception results from resource issues in the machine that is running the Mitratech Office Link add-in.

Issue: Dragging-and-dropping an EML or MSG file from the Windows Desktop returns an error.

Invoices

Issue: If an invoice includes more than one matter and a user rejects the invoice for the first matter, the invoice for the other matters can be placed on hold. If an invoice includes more than one matter and a user places the invoice for the first matter on hold, the invoice for the other matters can be approved. Workaround: If an invoice includes more than one matter and the user rejects or places the invoice for the first matter on hold, refresh the list of invoices prior to proceeding to the next invoice.

Issue: When a user clicks Reject and View Next on an Invoice Summary page, the next invoice does not appear. The user must click the right arrow button to view the next invoice.
