LegalHold 2.0.0 Release Notes

This topic outlines features and issue resolutions in LegalHold verison 2.0.0.

Enhancements/Improvements

Enhancement: A new lookup type has been added to LegalHold to track data types for collecting data from custodians. Example data types include "Email", "Documents", etc.
Description: Data types must be setup before your site can use the new Collection Management page to assign and monitor collecting data from custodians. On the LegalHold Home page, select System Settings, then select Manage Lookup Tables. On the Manage Lookups page, select the Collection Data Types tab. Select Add New Collection Data Type to begin inputting the data types used for custodian collections. You can add to the list at any time, but data types that have been assigned to a collection cannot be deleted. See Configuring LegalHold for Data Collections for more information.

Enhancement: A new system setting has been added to LegalHold to track non-custodial data sources for collecting data from systems. Example data sources include "Email Server", "File Share", etc.
Description: Non-custodial data sources must be setup before your site can use the new Collection Management page to assign and monitor collecting data from non-custodial data sources such as a system or server. On the LegalHold Home page, select System Settings, then select Systems for Non-custodial Data Sources. On the System List page, select the Add New System to begin inputting the data sources used for non-custodial collections. You can add to the list at any time, but data sources that have been assigned to a collection cannot be deleted. In addition, you must specify at least one system owner for the data source. The system owner will be notified of the need to collect data from that system when a collection is created for the data source. For example, the system owner for a customer ticketing system may be the operations manager who administers that system.
In addition, you can import non-custodial data sources from a custom Comma-separated Values (CSV) file that is provided with LegalHold. A new task allows you to setup a schedule so that output from another internal system can be imported into LegalHold as non-custodial data sources.

Enhancement: A new icon has been added to the LegalHold Home page to access all collections for hold administrators or system administrators.
Description: The Manage Collections tile opens the Manage Collections page from which you can filter the list of collections by the status of the legal hold or by several filters. See Manage Collections and Create a Collection for more information.

Enhancement: New Data Collections page.
Description: A new page has been added to LegalHold to manage data collections. The page shows both custodial and non-custodial collections that have been created for the selected hold, and allows a hold manager to create new collections. From this page, a hold administrator can create both custodial and non-custodial collections and review information concerning those collections by accessing the collection history.

Enhancement: A new scheduled task, Collector Email, has been added to the list of scheduled tasks. This tasks allows a hold administrator to schedule emails to be sent to the collector of custodial data pertaining to the hold or to the system owner of a non-custodial data source. An additional variable has been added to the email portion of the task to link to the portal for collectors.
Description: The email template for the Collector Email allows customizations to the email sent to a custodial data collector or the email sent to the system owner for a non-custodial data source. See Collector Email Setup for more information.

Enhancement: A new icon and page has been added to the LegalHold Portal for data collectors who have been assigned to collect data from individual custodians or as the owner of a shared system resource.
Description: When a resource is assigned to a data collection, he/she will receive an email with a link to the LegalHold Portal. If the resource is a new user of the portal, he/she will follow the onboarding process the same as a custodian when first accessing the portal. Once the resource has logged into the portal, he/she will see a new icon for all collections assigned to him/her, in addition to any legal holds for which he/she is a custodian. For the collections, if the resource has both custodial and non-custodial assignments, select the tab for each to see the collections. The collector can then update his/her collections with the appropriate status and completed date, in addition to any comments. See View and Update Collections for more information.

Enhancement: Two new reports have been added to return information on collections.

Enhancement: A new workflow has been created so that data stewards can receive legal hold notifications and their responses tracked. Data stewards are individuals who are responsible for the collection of system and custodian data during the electronic discovery process. This workflow is optional and can be enabled or disabled.
Description: See Response Page Customizations for more information on setting up a response page for data stewards. Once custodians are added to hold notices, data stewards will also receive an email for the hold with any new custodians for the hold.

Enhancement: With the addition of the scheduled task to upload people records from an integration with a Human Resources (HR) system internal to your company, a new setting exists to disable the manual adding of people records to Legal Hold.
Description: The new system setting can be found by accessing the Hold and Notice Customizations under System Settings, and toggling the Disable Manual Creation of People field to enabled. The default is for manual creation of people to be available. If the toggle is enabled, you will not be able to manually add people from the Manage People module because all people records will be synchronized periodically from the HR system.

Enhancement: A new Hold Response Rate report has been created to display the percentage of each response category that has been acknowledged by recipients of a legal hold for the selected list of legal holds.

Bug Fixes

Issue: Hold Summary report.
Description: For the Hold Summary report, selecting all holds now returns results for holds that have zero non-respondents. .
