Unified User Account (Client Admin + I-9 Manager) FAQs 

What is Unified User Account enhancement? 
The Unified User Account enhancement expands existing account management capabilities by allowing a Client Admin account to also be configured with I-9 Manager access. Organizations may continue using standalone Client Admin accounts and standalone I-9 Manager accounts. In addition, organizations may now assign an I-9 Manager Role to both existing and newly created Client Admin accounts, creating a single account that supports both Client Admin and I-9 Manager functionality. 

Why is Mitratech introducing the Client Admin + I-9 Manager enhancement? 
The enhancement provides greater flexibility when managing user access. Organizations may continue using separate accounts or choose to assign I-9 Manager access to a Client Admin account. No changes are required for organizations that wish to continue using separate Client Admin and I-9 Manager accounts. 

Can a user be both a Client Admin and an I-9 Manager? 
Yes. A single user account may now be configured as both a Client Admin and an I-9 Manager. A Client Admin + I-9 Manager account uses a single account to access both Client Admin and I-9 Manager functionality. 

Will a Client Admin + I-9 Manager account still have access to Client Admin functionality? 
Yes. Assigning an I-9 Manager Role to a Client Admin account does not remove or restrict any existing Client Admin functionality. The account retains access to Employer management, Worksite management, System Configuration settings, and other Client Admin functions. 

Will existing Client Admin and I-9 Manager accounts be automatically merged? 
No. The enhancement does not automatically merge, consolidate, remove, or modify existing Client Admin or I-9 Manager accounts. Account consolidation is optional and must be performed by a Client Admin user with the Can Manage Client Admins permission. 

What happens to my existing users after the enhancement is released? 
Existing Client Admin and I-9 Manager users will continue functioning as they do today. No accounts will be automatically merged, consolidated, removed, or converted. 

What value will be assigned to existing Client Admin users? 
For existing clients, active Client Admin users who are also designated as Support Admins will automatically have their Can Manage Client Admins setting assigned a value of True. All other existing Client Admin users will not automatically receive a value of True. 

Who can manage Client Admin accounts after the enhancement is released? 
Only Client Admin users whose Can Manage Client Admins setting is assigned a value of True can create, update, and manage Client Admin accounts. 

What happens if I choose not to use the Client Admin + I-9 Manager functionality? 
Nothing. Organizations may continue using standalone Client Admin accounts and standalone I-9 Manager accounts in the same manner they do today. 

Why am I seeing a 'Manage Client Admins' link under the Admin Control Panel menu? 
All Client Admin users will see the Manage Client Admins menu option and can access the Client Admins page. Access level depends on the Can Manage Client Admins setting. 

Why am I seeing a 'Client Admins' page that I've never seen before? 
Tracker I-9 now includes a dedicated Client Admins page that allows organizations to view and manage Client Admin accounts directly within the application. 

What is the 'Can Manage Client Admins' setting? 
This setting determines whether a Client Admin user can create, update, and manage Client Admin accounts within Tracker I-9. 

How do I know whether I have permission to manage Client Admin accounts? 
Your ability to manage Client Admin accounts is determined by the value assigned to your Can Manage Client Admins setting. 

What can I do if my account has the Can Manage Client Admins permission? 
You can create and update Client Admin accounts, assign or remove I-9 Manager Roles, activate/deactivate Client Admin accounts, and consolidate eligible accounts. 

What can I do if my account does not have the Can Manage Client Admins permission? 
You will have read-only access to the Client Admins page but can continue managing standalone I-9 Manager accounts through the Users page. 

What is the difference between the Client Admins page and the Users page? 
The Client Admins page contains standalone Client Admin accounts and Client Admin + I-9 Manager accounts. The Users page contains standalone I-9 Manager accounts. 

Can I export a list of Client Admin accounts? 
Yes. The Client Admins page includes an Export All Records to Excel option for standalone Client Admin and Client Admin + I-9 Manager accounts. 

What information is included in the Client Admin export? 
The export includes account details, status, permissions, activity information, and I-9 Manager-related information when applicable. 

How can I identify Client Admin + I-9 Manager accounts in the Client Admin export? 
Client Admin + I-9 Manager accounts will contain values for I-9 Manager Role and Time Zone. Those fields will be blank for standalone Client Admin accounts. 

Can I export inactive Client Admin accounts? 
Yes. The export respects the Hide Inactive Users filter applied on the Client Admins page. 

How do I assign I-9 Manager access to a Client Admin user? 
Open the Client Admin account, assign an I-9 Manager Role, configure required settings such as Time Zone and permissions, and save the account. 

What happens when I assign an I-9 Manager Role to a Client Admin account? 
The account becomes a Client Admin + I-9 Manager account and gains access to both Client Admin and I-9 Manager functionality. 

What I-9 Manager Roles are available? 
Standard and custom I-9 Manager Roles are supported. The same roles available to standalone I-9 Manager accounts are available to Client Admin + I-9 Manager accounts. 

How do I remove I-9 Manager access from a Client Admin account? 
Change the I-9 Manager Role field to None and save the account. 

What happens if I change the I-9 Manager Role to None? 
The account remains a standalone Client Admin account and no longer has I-9 Manager functionality. The Can Manage Client Admins setting is unaffected. 

How do I access my I-9 Manager functionality if I have a Client Admin + I-9 Manager account? 
Click the down arrow next to your user name and select Switch to I-9 Manager View. Use Switch to Client Admin View to return. 

Do I need separate accounts for my Client Admin and I-9 Manager access?
No. A single Client Admin + I-9 Manager account can access both experiences. 

What is the recommended way to switch between Client Admin and I-9 Manager views? 
Use the built-in Switch to I-9 Manager View and Switch to Client Admin View options within the same browser session. 

How do I consolidate an existing Client Admin account and standalone I-9 Manager account into a Client Admin + I-9 Manager account? 
Retain the Client Admin account, assign an I-9 Manager Role, configure required settings, verify access, and then optionally deactivate the standalone I-9 Manager account. 

What happens to my standalone I-9 Manager account after consolidation? 
It is not automatically deactivated. Organizations may choose to deactivate it after verifying the Client Admin + I-9 Manager account is properly configured. 

What happens to my standalone Client Admin account after consolidation? 
It becomes the Client Admin + I-9 Manager account and retains all Client Admin functionality. 

What happens to my Employer and Worksite permissions after consolidation? 
Organizations should determine and configure the Employer and Worksite permissions that should be assigned to the Client Admin + I-9 Manager account. 

What happens to my email alerts after consolidation? 
Email alert eligibility continues to be determined by the assigned I-9 Manager Role, permissions, account status, alert configuration, and Time Zone. 

What happens to Employee Profiles currently assigned to my standalone I-9 Manager account? 
Employee Profile assignments are not automatically updated. Organizations should review and update assignments as appropriate. 

What happens to my E-Verify training if I consolidate my standalone Client Admin account and standalone I-9 Manager account into a Client Admin + I-9 Manager account? 
E-Verify training records are associated with the account on which the training was completed.  

If you previously completed the required E-Verify training using a standalone I-9 Manager account, that training history remains associated with that standalone I-9 Manager account. 

When an existing Client Admin account is assigned an I-9 Manager Role with E-Verify permissions, the application treats that Client Admin + I-9 Manager account as a new E-Verify user. As a result, the required E-Verify training and quizzes will be considered incomplete for that account. 

Client Admin users can manage E-Verify training information for eligible users, including resetting E-Verify training or updating a user's training score, when appropriate.

Do I need to update my API integrations? 
No. Existing integrations used to manage I-9 Manager accounts may continue functioning without modification. 

Can Client Admin + I-9 Manager accounts be provisioned through the Tracker I-9 APIs? 
Yes. Organizations may use supported Tracker I-9 APIs to provision and manage Client Admin + I-9 Manager accounts. 

Do I need to update my SSO configuration? 
No. Existing SSO integrations will continue functioning. Updates are only required if you wish to leverage new Client Admin + I-9 Manager provisioning capabilities. 

Can Client Admin + I-9 Manager accounts be provisioned through SSO? 
Yes. Supported SSO capabilities can be used to provision and manage Client Admin + I-9 Manager accounts.
