Form I-9
Search Filter Tooltip Update for Employee Profile and Form I-9 Search
Modified the tooltip and validation message for the Search for Existing Employee feature to clearly communicate required search filter fields when I-9 Managers and Distributor Admins search for Employee Profile and Form I-9 records. The updated content is available on Desktop for both roles, and on Mobile for I-9 Managers.
Authorized Representative Designation Process UI Update
Updated the UI on the Authorized Representative Designation Process page which is applicable to the Employee Appoint workflow. The placement of the Last Name and First Name fields has been switched. Also, the note displayed on the bottom of the page when an employee who previously set up an authorized representative return to the page has been revised.
“Note: To change the Authorized Representative, update the name and contact fields above, then click Update. A message will be sent to the new Authorized Representative with instructions on completing Section 2 of your Form I-9. This action will also revoke the previous representative's access to your Form I-9.”
Enhanced Validation for Refugee I-94 Receipts
Added a two-step pop-up alert flow to assist I-9 Managers when selecting ‘Receipt: Form I-94/I-94A with refugee stamp (or RE Class of Admission)’ as a List A document during Section 2 or Section 3 completion (Onsite or Remote). These alerts help validate the document and prompt corrective action if needed.
Section 1 Error Handling Enhancements
Updated error handling behavior for Section 1 to improve clarity when employees need to correct field validation issues. Fields with server-side errors are now unshaded once the error is resolved and the employee clicks out of the field, ensuring visual confirmation that the issue has been fixed. Additionally, client-side errors now trigger both a validation message and pink field shading for consistency with server-side error presentation.
Reverification Due Date Added for Foreign Passport with I-94
A new conditionally displayed mandatory field Reverification Due Date has been introduced when the List A document is “Foreign Passport with Form I-94 or I-94A” and no Additional Document is selected. This field includes a tooltip guiding users to enter the actual work authorization end date (e.g., H-1B petition end date), if earlier than the I-94 expiration. Validations have been applied to support accurate data entry. The Electronic I-9 Audit Trail now captures the Section 2: List A Due Date and Supplement B: List A Due Date details.
Auto-Scroll to Signature Block After Saving Section
The Desktop version of the Tracker I-9 application now refreshes and scrolls directly to the signature block after saving an onsite Section 1 or Section 2 for a faster, more intuitive signing experience.
Streamlined Section 2 Document Selector Layout
The “Section 2” page now permanently replaces the Classic View Document Selector with the New View Document Selector layout, standardizing the document selection process and layout for all users. These changes simplify the Section 2 completion or amendment process, thereby enhancing the overall user experience. For more information, visit Section 2 Document Selector article.
Enhanced Login Error Messages
Updated login error messages to provide clearer, more actionable guidance. Incorrect username or password entries now return precise instructions, while account lockouts after repeated failed attempts display clear explanations and next steps.
Social Security Card Restrictions for Noncitizen Employees
When the employee’s Employment Status in Section 1 is listed as a Noncitizen authorized to work with a valid authorized to work until date, the “Social Security Card” document option is now disabled on both the “Employee Document Upload (EDU)” page and the “Section 2” page to prevent selection errors. Employees with this employment status and work authorization are issued restricted Social Security Cards which cannot be accepted for Form I-9 purposes. The Social Security Card, Receipt Documents, and All Documents tiles are disabled, and hover text along with alerts are displayed for clarity. This update ensures employees can only select valid documents that are consistent with their employment status and work authorization.
Additionally, if either onsite or remote Section 1 is later amended to “A noncitizen authorized to work” with an authorization end date while Section 2 already contains a List C Social Security Card, the system now displays a pop-up alert and prevents saving, ensuring consistency and compliance.
Enhanced Section 2 Handling for Missouri State ID
The “Section 2” UI has been updated to allow I-9 Managers and Authorized Representatives to indicate when a Missouri state-issued ID card does not have an expiration date. A new Not Applicable (N/A) checkbox has been added below the Expires field. Additionally, the tooltip has been updated, and the pop-up alert message has been standardized across all use cases, ensuring consistent language and behavior whenever the alert is displayed.
I-9 Resolve
Enhanced I-9 Resolve Error Detail Reporting
The I-9 Resolve Error Detail List View Report has been updated to provide I-9 Managers with clearer insights. The I-9 Resolve Error Details worksheet now shows an updated Form Revision Date column and a new row displaying the Error Type (Substantive or Technical) for each UI Error Code. The Requirements to Resolve worksheet has been enhanced with an Error Type column, ensuring all key data points are visible for efficient error resolution. Additionally, Error 10 has been removed as it has been discontinued.
Email Alerts
Advanced Scheduling for Section 1 Due Email Alerts
The Section 1 Due (Employee) email alert has been updated to include advanced scheduling, giving administrators the ability to send reminders 14, 7, 5, 2, or 1 day(s) before an employee’s start date. A new Advanced Standard Time Interval container in the configuration UI supports selecting multiple intervals, ensuring greater flexibility. Alerts now follow the recipient’s time zone (Employer’s for employees, I-9 Manager’s for managers), and the Onsite Form I-9 workflow has been excluded from this alert.
In addition, a new prominent informational message has been added to the Email Alert configuration: "If applicable, add the Section 1 link to the Employee's "Section 1 Incomplete" email template, and you may also consider updating the email content directly on the Email Customization page."
By default, the Section 1 link is not included in the content of the email reminder that is delivered to the employee. However, this link can now be easily added to the template by a Client Admin user via the Email Customization feature. See the next section of the release notes for more information.
Enhanced Section 1 Incomplete Email with Dynamic Login URL
The “Section 1 Incomplete” email template (Employee version only) has been enhanced with a new merge tag called {{EmployeeLogin_URL}}, available in the Reference Merge Tags dropdown (highlighted with a red bar). This tag enables employees to access Section 1 directly from the email reminder by generating a secure, dynamic link to their Section 1 page. Validations are triggered only after saving or when attempting to remove the tag, ensuring proper configuration.
Enhanced Email Alerts: I-9 Pro No Show Appointment
The "System Email Alerts Template" UI has been updated to include a new alert labeled I-9 Pro - No Show Appointment. This alert notifies I-9 Managers and designated users when an employee’s I-9 Pro appointment status is changed to No Show, allowing them to determine next workflow steps and coordinate with the employee on completing Section 2 of their Form I-9. The new alert template is also available in the “Email Customization” feature at the System, Distributor, and Client/Employer levels.
Enhanced Remote Access Declined Email with Dynamic Section Tag
The "Authorized Representative Declined Request - Employer/Employee Appoint" email template has been updated with a new {{SectionType}} merge tag that automatically inserts the correct section (2 or 3) into the subject line and body. The tag is available in the “Reference Merge Tags” dropdown. If removed, Admin users can paste the tag back in, and system validations will run upon saving. Once deployed, the merge tag will dynamically render the correct section in all outgoing emails.
Reports
Added I-9 Workflow Filter to I-9 Record Summary List View Report
Enhanced the I-9 Record Summary List View report UI with an I-9 Workflow dropdown filter to improve usability and make it easier to identify records by workflow. The new single-select dropdown displays only the workflows enabled for the client and uses the same labels as the Form I-9 page. A new I-9 Workflow column has also been added to the results and export, with options to sort in ascending or descending order.
API
- A new API endpoint allows users to export the current Form I-9 PDF along with supporting assets in a ZIP file. If any assets fail to export, they are listed in an error text file that is included within the ZIP file, and the API returns a 206 – Partial Content status.
- For Distributors and Clients who are using our Event Management Integration (Push Events) a new 402 Event has been implemented to notify external systems whenever an Employee Profile is deleted via the Tracker UI, including deletions from the Employee Profile page, Form I-9 page, Purge Report, and Empty Profile Deletion Report.
- The API response associated with the Get Form I-9 API call has been updated to include new arguments that were introduced as part of the most recent versions of the Form I-9. These new arguments include the Middle Initial associated with the Supplement A Preparer or Translator, the Section 2 and Supplement B/Section 3 Alternative Procedure checkbox, and the Supplement B/Section 3 Additional Information field.
