Notification Settings

Rules can be designed to send email notifications after certain actions have been triggered. To customize the templates used for these emails, you can update the notification system settings. Notifications can be defined for all objects, all custom objects, or a specific system or custom object.

See Specifying Actions for Custom Action Rules and Defining Settings for Scheduled Action Rules for more information about creating and editing rules to send notifications, as well as defining recipients of notifications.

Users must be given the appropriate rights to view, edit, create, and delete notification templates. For details, see the Rights for End-users appendix.

For notification templates that will be defined only for a custom object, the custom object must be created before creating the templates.

To view notification templates

  1. Click the Admin tab.
  2. Click Admin Settings under the tab bar.
  3. Click Notifications in the left pane.
    The page of notification templates opens. Click the following table column headers to sort the list of notification templates: NameActiveDescriptionDefined for.
  4. To open a notification template, click its link in the Name column.

To create or edit notification templates

  1. Click the Admin tab.
  2. Click Admin Settings under the tab bar.
  3. Click Notifications in the left pane.
  4. Select one of the following options:
    • To create a new notification template, click the New button.
    • To edit a notification template, click the Edit icon next to the record that you want to edit.
      The notification template opens to its General page.

  2. Click the Email Definition link in the left pane.
  3. On the Email Definition page, enter or edit the appropriate information. See the Email Definition Page fields table for more information.

  4. Select a save option.

General Page Field Descriptions

Description

*Name

The name of the notification template.

*Key

Uniquely identifies a template. Notification templates cannot have the same unique key.

This key can be used to retrieve the template in a custom action rule through the notification API. It can also be used to identify the template in a custom design for use at the global level and at the object definition level.

After you save the notification template, the unique key appears as read-only text and you cannot change it.

Is active?

The active status of the notification template. An inactive template will not show up as a selection option anywhere, such as in Admin Settings, object definitions, rules, etc. If a template that is associated with a rule or action is deactivated, the template notification will continue to use the deactivated template.

Description

A description of the notification template. Limited to 250 characters.

The object type the notification template is defined for. Available selections in the drop-down menu are All ObjectsAll Projects, and individual system or custom object types.

*Subject line

The subject line of the notification template. Limited to 250 characters. Supports Object Navigator variables.

*Body

The body text of the notification template. Limited to 250,000 characters. Supports Object Navigator variables.

You can use the editor buttons in this field to format the email body text as you desire.

Click the Select Field link under the Body field to show the Object Navigator button. The Object Navigator button opens a pop-up menu that displays the objects whose fields can be inserted into either the Subject line or Body of notification templates. This is determined by which field the text cursor was last active in when the Insert button is clicked. The objects available in Object Navigator are determined by which objects the template is defined for. In the Admin Settings pages, the object fields will be depicted in the text as variables, such as ${currentUser}.

 

Important: The Object Link > Share URL value in Object Navigator will not display properly in notification emails if the Login URL setting in the General page of Admin Settings is not defined properly.

To make a copy of a notification template

  1. Click the Admin tab.
  2. Click Admin Settings under the tab bar.
  3. Click Notifications in the left pane.
  4. Click the link in the Name column of the desired notification template.
  5. Click the Copy button.
    The notification template editor opens with the contents of the copied notification template. The exceptions are the Name field, which is set to "Copy of [original template name]", and the Unique Key field, which is set to blank.
  6. Edit the appropriate information on the General and Email Definition pages.
  7. Select a save option.

To print a notification template

  1. Click the Admin tab.
  2. Click Admin Settings under the tab bar.
  3. Click Notifications in the left pane.
  4. Click the link in the Name column of the notification template you want to print.
  5. Click the Printable View button.

Customizing System Notifications

In the System Notifications section, you can specify which notification templates are sent in place of the default system notifications. This section lists general actions performed by objects that send system notifications. Beside each action is a drop-down list of available notification templates for that action.

Templates that are customized at this level will be used by all objects that perform the relevant action unless another notification template is selected in an object definition, which supersedes these settings.

To customize a system notification for an action

  1. Click the Admin tab.
  2. Click Admin Settings under the tab bar.
  3. Click Notifications in the left pane.
  4. In the System Notifications section, select the notification template from the drop-down menu next to the desired action. To set a system notification back to its default, select Default from the drop-down menu.
  5. Click the Update button.

System Notifications Actions

The following list contains the types of email notifications. Updated the field in the System Notifications section to send a custom notification template instead of the default system notification.

  • Set as an assignee—The notification that users receive when assigned to a record.
  • Workflow approval request—The notification that users receive when assigned as the approver of a request.
  • Workflow approval notice—The notification that users who complete an action that created an approval request receive when another user approves the request.
  • Workflow rejection notice—The notification that users who complete an action that created an approval request receive when another user rejects the request.
  • Workflow review request—The notification that users receive when assigned as a reviewer of a request.
  • Workflow expiration notice—The notification that approvers receive to remind them that an approval request is about to expire.
  • Workflow review completion notice—The notification that users receive when a review they requested is complete.
