How do I view client-authorized billing codes or Non-US Tax codes?
- Select the Clients tab at the top of Collaborati
- Click the client's name.
- Click the fourth icon from the top on the left navigation menu (“Codes”) and click "Select Office" to choose the correct Office from the dropdown menu.
- A Task Codes list will display by default. This list was retrieved from the client system.
Note: When creating an invoice from the Collaborati online form, from the Invoices tab > Create Invoice link > on step 2 Line Items screen, the Fee drop-down list options will be the same as the Task Codes list items. From the 2 Line Items screen, for the Item Type drop-down list, you need to select Fee before the Fee drop-down list will appear.
- To view Expense Codes, click the Expense Codes link. These codes were authorized by the client.
Note: When creating an invoice from the Collaborati online form, from the Invoices tab > Create Invoice link > on step 2 Line Items screen, the Expense drop-down list options will be the same as the Expense Codes list items. From the 2 Line Items screen, for the Item Type drop-down list, you need to select Exp before the Expense drop-down list will appear.
- To view Activity Codes, click the Activity Codes link. These codes were authorized by the client.

- To view Non-US Tax Codes, click the Non-US Tax Codes link. These codes were authorized by the client.
Note: When uploading LEDES invoices, Collaborati will validate Task, Expense, Activity, and Non-US Tax Codes (Categories) for client authorization.
How do I disable client-authorized billing codes or Non-US Tax codes?
- Select the Clients tab.
- Click on the client's name.
- Click the fourth icon from the top on the left navigation menu (“Codes”) and click "Select Office" to choose the correct Office from the dropdown menu.
- To disable Task or Fee codes, from the Task Codes list, clear the Use check-box in the row for any codes you do not plan to use.
- To disable Expense Codes, click the Expense Codes link, clear the Use check-box in the same row as any codes you do not plan to use.
- To disable Activity Codes, click the Activity Codes link, clear the Use check-box in the same row as any codes you do not plan to use.
- To disable Non-US Tax Codes, click the Non-US Tax Codes link, clear the Use check-box in the same row as any codes you do not plan to use.
Note: To disable all billing codes on a screen, clear the Use check-box at the top of the table column.
Note: Any changes to the client's Codes screens will be saved automatically.
How do I map client-authorized billing or Non-US Tax codes to internal codes?
If you use internal billing codes that differ from your client's billing codes, from Collaborati you can map your internal billing codes to client billing codes. The results would be:

For uploaded invoices: When you upload invoice files, Collaborati will convert your internal billing codes to the appropriate client billing codes when submitting your invoices to clients.

For invoices created in Collaborati: Collaborati's pages for creating invoices will display your internal billing codes (instead of the default client-authorized billing codes).
In addition, you can map internal Non-US Tax codes to client-authorized non-US tax categories. Similarly, for uploaded invoices, Collaborati will convert your internal Non-US Tax codes to the appropriate client Non-US Tax codes in the invoices delivered to clients. For invoices created in Collaborati, Collaborati's pages for creating invoices will display your internal Non-US Tax codes (instead of the default client-authorized Non-US Tax codes).
Note: Among Task codes, Expense codes, and Activity codes, your corresponding internal billing codes must be unique and can be mapped only one time to a client's Task code, Expense code, or Activity code. For example, if you have an internal billing code, I100, and you have mapped it to a client's Task code, T100; then you cannot create another mapping from I100 to another Task code, Expense code, or Activity code.
Note: Internal billing code values are non-case sensitive. If you have entered an internal billing code value, M100, then you cannot enter m100 as another internal billing code (for another billing code that requires a unique internal billing code mapped) because they will be considered identical.
To map internal billing or Non-US Tax codes to client-authorized billing or Non-US Tax codes
- Select the Clients tab.
- Click on the client's name.
- Click the fourth icon from the top on the left navigation menu (“Codes”) and click "Select Office" to choose the correct Office from the dropdown menu.
- To map Task codes, from the Task Codes list, type your internal task/fee code in the Internal Billing Code box in the same row as the client-authorized code to map.
- To map Expense Codes, click the Expense Codes link. Type your internal expense code in the Internal Billing Code box in the same row as the client-authorized code to map.
- To map Activity Codes, click the Activity Codes link. Type your internal activity code in the Internal Billing Code box in the same row as the client-authorized code to map.
- To map Non-US Tax Codes, click the Non-US Tax Codes link. Type your internal Non-US Tax code in the Internal Billing Code box in the same row as the client-authorized tax category to map.
Note: To disable all billing codes on a screen, clear the Use check-box at the top of the table column.

How do I edit a client's Internal Client Codes or add another Internal Client Code for my client (for uploading LEDES invoices only)?
Internal Client Code values are used to validate uploaded invoices.
- Select the Clients tab.
- Click on the client's name.
- Click the fourth icon from the top on the left navigation menu (“Codes”) and click "Select Office" to choose the correct Office from the dropdown menu.
- Click the Internal Client Code link.
- Edit the Client Code (Client Id) box. You can enter one or more values separated by a comma. If you upload LEDES invoices, the CLIENT_ID field values in the invoice file will be validated against the Internal Client Code values you provide.
- Click Save.
