Enhancements/Improvements

Enhancement: New Client setting named “Expanded Timekeeper Classifications Enabled” added and this setting will provide additional timekeeper classifications to clients.
Description: Clients can enable this setting in the client system so that users can access the additional Timekeeper Classifications in Collaborati. This setting is visible(non-editable) to M-Admin, M-Support, and F-Admin users under the client settings page in Collaborati. Following are the additional timekeeper classifications added to the table under “Timekeeper Classifications Authorized for Invoicing” section on client settings page:

  • Paralegal
  • Legal Professional
  • Clerk/Secretary
  • Legal Intern

Additional Information: “Classification Details” text box field is newly added on the Timekeeper profile page to add the details related to classification.

Enhancement: Manual Timekeeper Creation: Display additional timekeeper classification fields while creating a new timekeeper manually or editing the existing timekeeper.
Description: Following changes are made on the Timekeeper Details page of Manual Timekeeper Creation.

  • A new text field named “Classification Details” is added.
  • New additional timekeeper classifications will be displayed in the Classification drop down list dynamically if one of the associated clients has this setting “Expanded Timekeeper Classifications Enabled” is selected as “Yes.”
  • Based on the client settings on any of the selected clients, a warning message is displayed if the selected Timekeeper classification is not authorized for Invoicing.

Additional Information: Above changes are observed while editing the existing timekeeper record in Collaborati.

​​​​Enhancement: Ability to edit the Client Timekeeper Profiles and the Classification Details
Description: Users can edit the existing Client Timekeeper Profiles on the Timekeeper profile page in Collaborati. “Classification Details” column is newly added to the existing Client Timekeeper Profile display table and can be edited.
Additional Information: Based on the client settings configuration, new additional timekeeper classifications will be displayed in the Classification drop down list dynamically.

Enhancement: Client/Office setup: Timekeepers page User Interface (UI) updates.
Description: If at least one of the client setting “Expanded Timekeeper Classifications Enabled” is set to “Yes” for any of the client selected on the Timekeepers page then:

  • If the client settings have any timekeeper classifications that aren’t allowed to invoice, they will be listed as a bullet point.
  • Sample Timekeepers 6.0 file will be accessible for download.

  • If the client  setup has at least one classification that is Not authorized for invoicing, then below message will be displayed

    • “(Client Name) does not allow invoicing for the following classifications: (Timekeeper Classification 1, TK Classification 2, etc).

Enhancement: Client/Office setup: Add/Assign page User Interface (UI) changes.
Description: Following changes are made on the Add/Assign page of Client/Office setup process.

  • A new text field named “Classification Details” is added.
  • New additional timekeeper classifications will be displayed in the Classification drop down list dynamically if the client setting “Expanded Timekeeper Classifications Enabled” is selected as “Yes.”
  • The assign checkbox will be disabled for one or more timekeepers if the classification is not authorized to invoice and client/office setup has the settings “Not allowed to Invoice”.
  • On the data table, an information icon has been added to the Edit column which displays a readable text when users hover over it as below.
    • The Timekeeper edit functionality and options may not be available for an existing Timekeeper due to conflicting client settings and such changes cannot be made during the Client/Office setup process.”

  • A pop up screen appears allowing the users to create Client Timekeeper profiles with default classification when the existing timekeeper is updated with one of new timekeeper classifications and if the timekeeper is associated with one or more clients that has “Expanded Timekeeper Classifications Enabled” is selected as “NO.”

Enhancement: Client/Office Setup: User Interface changes on Rates page.
Description: During Client/Office setup process, if any timekeepers that are created / uploaded  have errors as timekeeper classification is not authorized to invoice by the associated client, the following actions will be taken:

  • If Manually Add Rates is selected for the timekeepers that had errors will not be available in the Timekeeper Selection field.
  • If Upload Timekeeper Rates is selected and if users upload a timekeeper file that has errors on the rate item for any such timekeepers in the file an error message will be displayed in the Error preview table.

Enhancement: Client/Office Setup: Summary page updates for Expanded Timekeeper Classifications.
Description: Following changes are made to the Summary page of Client/Office Setup:

  • A new Section named "Client Timekeeper Profiles" has been added to display any Client timekeeper profile(s) that were created. The client timekeeper profile section will not appear if no new Client Timekeeper Profiles are created during the Client/Office setup process.

Enhancement: Upload Timekeepers with Rates: Client Timekeeper Profile pop up screen when Overwrite Existing Timekeeper Profiles.
Description: When you upload a Timekeeper file, if any of the timekeepers have new timekeeper classifications and the selected Client has the setting "Enable Expanded Timekeeper Classifications is set No," a pop-up message will appear, to confirm if Client Timekeeper profiles are to be created for the client.
Additional Information: If you proceed to create client timekeeper profiles through any upload types, the default classification (Legal Assistant) will be selected.

Enhancement: Create/Edit Timekeeper profile for the client(s) with client setting “Expanded Timekeeper Classifications Enabled” set to “No”.
Description: While creating/editing a timekeeper profile if any of the additional classifications is selected for the associated client(s) with the client setting “Expanded Timekeeper Classifications Enabled” set to “No” then a pop up screen appears. By default, “Legal Assistant” is selected from the Classification drop down list and can be modified for these client(s) by the Collaborait user before proceeding to the next step.

Enhancement: New Sample File for Timekeeper Upload that includes Expanded Timekeeper Classifications.
Description: If any associated client has the setting “Expanded Timekeeper Classifications Enabled” is set to “Yes” then the following changes are observed to sample Timekeepers file used to upload the timekeeper(s) details in Collaborati.

  • Sample file name has been renamed to Sample Timekeepers 6.0.
  • classificationDetails is the new column added to the Sample Timekeepers 6.0 file.

Description: If any associated clients have setting “Expanded Timekeeper Classifications Enabled” is set to “Yes” for any of the client(s) selected on the Upload Timekeeper page then:

  • Sample Timekeepers 6.0 file will be accessible for download.
  • Additionally, the list of client(s) that support the expanded timekeeper classification like Paralegal, Legal Professional, Clerk/Secretary, and Legal Intern) is displayed.
  • Based on the client settings of selected clients, a warning message is displayed if the selected Timekeeper classification is not authorized for Invoicing.

Description: Following updates are made to the Review & Submit page:

  • A new field named Classifications Details added under the Timekeeper Details on the Timekeeper Creation screen.
  • A New Section named “Client Timekeeper Profiles'' has been added to display the Client timekeeper profile(s).

Enhancement: Upload Timekeeper / Timekeeper with Rates process: updated Review & Submit page with Expanded Timekeeper Classifications changes.
Description: Following updates are made to the Review & Submit page:

  • If the Timekeeper has a classification and the associated client does not allow to Invoice for the timekeeper classification then a warning message is displayed in the status column.
  • In Timekeeper with Rates, if any of the timekeepers from the upload timekeeper page are unable to create due to its client settings not allowing to Invoice then those timekeepers will not be available for creating rates.
  • If the warning message exceeds more than 2 rows then a hyperlink text “See more” will be displayed in the message. When the user clicks on the hyperlink complete warning message will be displayed in the status.

Enhancement: Upload Timekeepers: Client Timekeeper Profile pop up screen for different Upload Types (New Timekeeper Submission, New Timekeeper Submission & Overwrite Existing Profiles, and Update Timekeeper Data Only)
Description: When you upload a Timekeeper file, if any of the timekeepers have new timekeeper classifications and the selected Client has the setting "Enable Expanded Timekeeper Classifications is set No," a pop-up message will appears to confirm if Client Timekeeper profiles are to be created for the client.
Additional Information: If you proceed to create client timekeeper profiles through any upload types, the default classification (Legal Assistant) will be selected.

Enhancement: New Client Setting named “Timekeeper Rate Currency Selection” on the client profile page.
Description: The setting will be enabled for clients on CSM 7.1 or above. For clients on earlier versions, the setting will be disabled. When this setting is enabled, Firms can select the rate currency when submitting a rate request for the associated client.

Enhancement: Manual rate requests have updates in the User Interface including Timekeeper rates having an option for currency selection.
Description: Following User Interface updates are made to the Manual rate request:

  • Timekeeper Rates Request now shows the “Client Name”,“Office”, and “Currency” details on the Rate Request Items page.
  • All the timekeepers are sorted in alphanumeric order in the Timekeeper dropdown list.
  • The Currency field will be editable only if the client setting “Timekeeper Rate Currency Selection  Supported” is set Yes.
  • An error message will be displayed if the Rate Currency for Timekeeper differs with the existing rate items or if the user tries to add a timekeeper rate with a conflicting currency for a pending rate request.
  • A warning message will be displayed on the Review page if at least one rate item has the Timekeeper Rate Currency different from the existing client Timekeeper rate currency in the client system.

Enhancement: Validate Line Item Tax Total while Processing LEDES invoice files.
Description: While uploading any LEDES file the line item tax amount on the LEDES should be less than 0.02 of the estimated tax amount calculated by Collaborati. When the difference between the line item tax amount and the tax amount calculated by Collaborati is greater than or equal to 0.02 then an error message will be displayed as follows:
Error Message: LINE_ITEM_TAX_TOTAL does not match the total calculated by Collaborati by 0.02 or more.
Additional information: In cases where the variance of the line item tax amount is less than 0.002, a warning message will be displayed.
