Key Updates and Enhancements
We’re pleased to introduce the latest update to VendorInsight (VI). This release includes exciting new features and performance enhancements designed to improve the overall experience. Continue reading to learn more!
The key highlights of this release include:

Enhanced Auto-Renewal Functionality with New Autorenewal Alert
The contract autorenewal process has been introduced to reduce manual effort. When VI runs on a contract's End Date, the system now automatically updates the Contract Start and End Dates based on the defined Auto Renew Term (Months). This automated renewal cycle will continue until the contract is archived, streamlining contract management and minimizing manual intervention.
To support this functionality, a new alert called Automatic Autorenewal Complete has been added to the Contract Alerts section in the Tools - Configure Alerts Notifications screen. When enabled in the Backoffice, this alert notifies users via email each time a contract is automatically renewed.
Expanded Query Editing Capabilities for Contract, VRA, and VPS
To enhance flexibility, reduce errors, and give users better control over their queries, users can now edit both saved and in-progress queries for Contract, VRA, and VPS types. A new Edit icon allows query owners to modify query and parameters. The Delete icon has been updated with a confirmation pop-up before deletion. Additionally, users can now rename their queries.
The system restricts users from adding new parameters while a query or parameter is in edit mode by displaying the following alert message.
Vendor Questionnaire Updates
Attach and View Reference Documents in Vendor Questionnaires
Users can now directly attach reference documents from the system to Vendor Questionnaire requests, available in the Vendor Questionnaire section under Vendor Records. This enhancement supports a more informed response process by allowing users to review supporting Due Diligence documentation before answering a questionnaire.
Enhanced Add Questionnaire Section
The “Add Questionnaire” section now includes the ability to attach reference documents to questions. This enhancement helps questionnaire recipients better understand the context and requirements of each question, improving the overall clarity and quality of responses:
- Document Location - Select where the document is associated: Contract Level, Vendor Level, Fourth Party, or Policy & Forms.
- Document Type - Specify the type of document being attached.
- Select Reference Document(s) - Choose from a filtered dropdown of available reference documents.
- Selection Controls - Use the “Select” button to add documents and the “Remove” button to deselect them.
- Selected Documents Summary - A dedicated box displays all selected documents along with their total size (in MB), offering a clear overview.
Document Display for Recipients
When recipients open the questionnaire (via the standard notification email), any attached reference documents are displayed in a structured tabular format. This allows them to easily access and review supporting documents before submitting their responses.
Vendor Questionnaire Template Update
The delete icon has been removed from the Vendor Questionnaire template to improve usability and resolve functionality issues. Users can continue to delete records using the 'Delete' option available under the “Vendor Questionnaire” section in the Tools menu on the left panel.
Improved Reminder Logic for Sequential and Concurrent Approvals
To ensure timely action and avoid delays in the approval process, the reminders functionality has been updated so that when the first approver takes action (approve or reject) in sequential or concurrent workflows, all remaining approvers now receive reminders, rather than only the first approver.
User Dashboard (UI) and Back Office Sync for Master Vendor Listings
The UI and Back Office have been updated to automatically remove the original vendor record when a vendor is promoted to a 'Master' vendor and re-listed under the new name, ensuring consistency across the system.
Improved Vendor Performance Assessments Filtering
To help users access results more quickly and navigate more efficiently, the Vendor Performance Assessments UI has been updated. A "Show Filters" link is now available at the top-right corner of the screen, providing easy access to a range of filter options. These include dropdown selections such as Affiliate, Department, Vendor Class, Performance Rating, Status, Policy Requirement, and Vendors. Additionally, users can further refine their view using checkboxes for Editing Only, IMR Only, and Critical Contracts Only.
Report Updates
Enhanced VRA Reporting with Unique Identifier
To distinguish between completed and new vendor risk assessments, a unique identifier called VRA ID has been added to the VRA reports. This ID is associated with each completed or saved VRA.
Export Data Update
To display the supervisor of the Primary Contract Owner, a new field called Primary Contract Owner's Supervisor has been added to the Export Data page under Reports & Analysis. This field will be selected by default.
Improved Export Report with Filtered Data
To ensure more accurate and relevant data export, the Export Data report now retrieves results after applying all filters, except for the ‘Search bar’ and ‘Active Evaluation’ toggle option.
Backoffice Alert Added for PCM with TAP Connections
To ensure important connections are not unintentionally affected, the Backoffice now displays an alert message when a user tries to disable a PCM that has associations like Documents, TAP Connections, Supplemental Documents, or Vendor Evaluation PCM Workflows.
Enhanced Process Dashboard with "Affiliate" Filter
Added a new "Affiliate" dropdown under the Process Dashboard as a single-select option and an independent filter to enhance filtering capabilities and improve data refinement.
Improved Vendor Relationship Profiles with Export Functionality
To improve user experience, the Vendor Relationship Profiles UI now includes an Export option, enabling users to download reports in PDF and Excel (.xls) formats from the top-right corner of the screen. The exported reports will include only the data currently displayed based on the applied filters.
Enhanced File Downloads with Section-Wise Naming
To improve file recognition, clarity, and overall usability, users will now see the original file name based on section-wise naming when downloading files from the UI, instead of a system-generated name.
New Checkboxes Added for Enhanced Document Accuracy
To improve the accuracy and completeness of documents sent to VI for review, two new checkboxes - Upload Contract and Upload Contract Form - have been added under User Administration > Tools for both Full and Dual Service systems. These checkboxes not only ensure better submission quality by reducing the risk of incorrect details, but also provide admins with more control over user access. Depending on the company’s service type, selecting these checkboxes will display one or two relevant upload options, and the corresponding UI elements will be dynamically enabled or disabled based on the selections. This update allows administrators with VMO access to have more control over what users can upload, enhancing both document accuracy and access management.
Simplified Task Completion Flow
To improve workflow efficiency and reduce unnecessary navigation, users and supervisors will now be redirected to the User Dashboard after saving their responses in the Tasks & Remediation Status section under My Outstanding Tasks & Remediation Items.
