Common iCIMS Integration Errors

This shows how a user can fix common iCIMS integration errors.

Goal

This lists the common errors that new hires may see when they try to complete Section 1 from iCIMS.

Organization or worksite are invalid.

This error refers to an issue with the I-9 Business Unit or the I-9 Worksite in iCIMS.

  • The iCIMS ID of the I-9 Business Unit is the External Employer ID of an Employer in Tracker
  • The iCIMS ID of the I-9 Worksite is the External Workstie ID of a Worksite in Tracker.

iCIMS allows for any combination of I-9 Business Unit and I-9 Worksite, but in Tracker, a Worksite can only belong to a specific Employer.

To fix this issue, please make sure that the I-9 Business Unit and I-9 Worksite entered corresponds to a correct combination of Employer and Worksite in Tracker.

Street Address 1 is not valid.

This error usually refers to an issue with the I-9 Worksite address in iCIMS, and not the new hire's address.

To fix this issue, for the I-9 Worksite that is entered in the new hire's profile in iCIMS, the address cannot be blank.

Date of Birth does not meet company age limit practices.

This error refers to an issue with the new hire's date of birth in iCIMS. Usually, the year is entered incorrectly (the current year is entered instead of the new hire's birth year).

To fix the issue, please fix the new hire's date of birth in iCIMS.

One or more of the following required fields are missing or invalid: First Name, Last Name, Start Date.

This error refers to missing required fields. It is usually due to the missing start date.

To fix the issue, please fix the new hire's start date (or other required fields) in iCIMS.

Requirements for iCIMS to Tracker I-9 Remote Login. 

For user to be able to use the Remote Login feature and access I-9 Complete they must be configured correctly in the iCIMS system.  However, they do not need to have an existing user account in Tracker I-9. If the integration finds that there is not already a user account for an individual it will create a new user account for them, as long as they are configured correctly in the iCIMS system.

  1. The User's First and Last Name.
  2. The User's E-Mail Address.
  3. The User's iCIMS ID; which will be used as the External User ID in I-9 Complete
  4. The User's remote login access permissions.
    • There are three types of access permission a user can have; all, specific employer(s), and specific worksite(s).  In the integration there is a specific tag for each type of access and user should only have one of the tags with information.  If none of these are selected for the user in iCIMS it will result in an Error Code 35 message.
      • All; "Grant access to all I-9s" in the iCIMS onboarding system's UI.
      • Employer; "Grant access to all I-9s for select Employer(s) only" in the iCIMS onboarding system's UI.
      • Worksite; "Grant access to all I-9s for selected Worksite(s) only" in the iCIMS onboarding system's UI.


I-9 Remote Login settings as they appears in the iCIMS onboarding system's UI (this may look different for some iCIMS clients).
