Gifts and Entertainment Template Guide
Overview
The Gifts and Entertainment Template provides a pre-designed workflow that can be configured to meet your company’s requirements. This guide walks you through the steps to use and customize the template effectively. This workflow ensures a structured and conditional review process for submissions, incorporating auto-approval/rejection, manager review, and compliance checks for accurate and efficient handling.
Important Note: This template requires significant customization before it can be implemented.
Loading the Template
- Open the Workflow Gallery and find the ‘Gifts and Entertainment’ template.
- Click the ‘Use Template’ button. Alternatively, you can click the ‘View Details’ button to know more about this template i.e. uses, integrations, etc., and then click ‘Use Template’.

The workflow template will load into your environment, opening the ‘Form’ page for customization. Please note that the template requires significant customization before it can be implemented.
The form page includes several sub-tabs: Details, Manager Review, Compliance Review, and Submit.
Form Tab
The following options will be available on the first page of the Form tab or ‘Details’ sub-tab. Name, Email Address,
- Manager: Enter the name of the manager to ensure the gift approval or tracking is routed to the correct manager for oversight.
- Manager Email: To send a notification to the manager
- I have: Select an option from the dropdown.

Type of Gift: Select the type of gift from the drop-down options.
The 'Given To/Received From' field must be set up on the form page.
Navigate to 'Field Properties' located in the right pane of the page. Proceed to 'Additional Settings' and then click on 'SFDC Setup'. A dialog box will appear prompting you to enter Salesforce record options. Choose the relevant options from the dropdown menu and then save your selections by clicking the save button.
Enter the necessary details for the fields ‘Details’, and ‘Approximate Value’ of the gift, and whether the ‘value was pre-approved?’ or not.
If the value was not pre-approved, mention a reason and upload any supporting documentation related to the gift.
Manager Review Tab
The following options will be available on the Manager Review sub-tab of the Form tab.
This form is a part of the Manager Review process, used for assessing financial transactions, gifts, or other values requiring compliance checks. Below is a detailed explanation of how to fill out the form:
- Review Section for Value of $25-99:
- Review Outcome (Mandatory Field): Select the appropriate review outcome from the dropdown options "Approved," "Rejected," or "Needs Further Review.".
- Comments (Optional Field): Enter comments justifying the review decision.
- Review Section for Value of $100-249:
- Review Outcome (Mandatory Field): Similar to the previous section, select the appropriate review outcome from the dropdown list.
- Comments (Optional Field): Provide additional details or justification regarding the decision.
- Reference to Code of Conduct Policy:
- A clickable link is available at the top of the form to review the organization's Code of Conduct Policy before making a decision.
- Managers are encouraged to review this policy to ensure compliance before finalizing their decisions.
Compliance Review Tab
The following options will be available on the Compliance Review sub-tab of the Form tab.
This form is part of the Compliance Review process, used to document discussions and decisions related to compliance assessments. Below is a detailed explanation of how to fill out the form.
- Date of Discussion: Enter the date when the compliance discussion took place.
- Attendees: List the names of all participants in the compliance discussion which may include managers, compliance officers, and other relevant stakeholders.
- Compliance Discussion Notes: Provide a summary of the discussion, highlighting key points, concerns raised, any important observations, details on policy references, regulatory guidelines discussed, and any supporting documentation reviewed. If necessary, note any follow-up actions required.
- Compliance Review Outcome: Select the ‘Approve’ or ‘Reject’ from the dropdown menu.
Submit Tab
The final sub-tab of the Form page contains only the Submit button, which is used to submit the form after entering the required details.
Workflow Page
The workflow depicted in the image represents a submission and review process for a General Submission Evaluation (GSE) form. Here’s a detailed explanation of the process:
Based on certain conditions, the workflow branches into different paths.
The process begins when the requester submits a Gifts & Entertainment (G&E) form for approval.

The compliance officer reviews the submission after manager approval and decides the outcome:

Low-value items (< $25): Auto-approved and workflow ends.
High-value items (> $250): Auto-rejected and workflow ends.
Mid-value items ($25–$249): Reviewed by a manager, and if approved, forwarded to compliance for the final decision.
