Document Storage

Document storage within Suite is determined by the System Administrator. Several options exist:

Database Document Storage

Database storage of documents provides version control, system-wide accessibility, and improved security. Documents can be viewed by one or more users. User access rights established by the System Administrator apply.

After a document has been uploaded to the database, it can be accessed (checked out) by any user with the appropriate access rights. When a document is locked, Suite displays the login ID of the user who checked out the primary copy of the file and the document cannot be overwritten in the database except by the user who locked it.

File Server Document Storage

If documents are stored on a hard drive, an index of files is stored in the database. You will need to have access to the drive in order to view a document. When saving documents, existing subdirectories in the file server path (configured by the system administrator) can be used to classify documents.

DMS Storage

A Document Management System (DMS) is a service offered by various companies whereby electronic files are cataloged or indexed to facilitate access and version control. Currently, DMS integrations are implemented using the Web Page Container widget. For more information see the Web Page Container Widget Integration Overview.
