Major New Features

AI-Powered Smart Search for Optimised Policy Discovery

PolicyHub now features an enhanced search experience with the new AI Search functionality. It goes beyond keyword matching by understanding the intent behind your queries, helping you find relevant documents more accurately.

It prioritises relevant results, highlights search terms, provides quick previews, expands searches to include related terms, and tolerates typos, all to improve search efficiency.

AI Search works best with multiple keywords or phrases in your search.

Note: The availability of the AI search feature is based on the environment. In supported environments, it is enabled by default. To disable it, please contact your System Administrator.

Bookmark Policies for Easy Retrieval

PolicyHub now includes a bookmarking feature, enabling users to save frequently accessed policies for quick and easy retrieval.

Users can bookmark Office online and PDF documents opened from My Library folders or search results in the browser.

Note: The bookmarking feature is only available for clients hosted by Mitratech.

Accessibility Enhancements

Significant changes have been made to PolicyHub Inbox application to create a more inclusive, accessible, and user-friendly experience.

The key improvements include full keyboard navigation, enhanced screen reader compatibility, better colour contrast, improved focus indicators, and meaningful alternatives for non-text content.

The Review History screen has been redesigned to provide a clearer, high-level overview of the workflow. It now displays the workflow summary based on actions performed by reviewers, with each step represented by distinct colours and shapes.

Additional Resources

A new section, represented by a candy-box icon, has been added to the top right corner of the screen in the PolicyHub Admin application. Clicking the icon presents two options:

  • Feedback Forum – selecting this option directs you to our community feedback portal where you can submit your ideas or suggestions to improve the product and vote for existing ideas.
  • Success Center – clicking this option takes you to the Customer Support site where you can access all our product resources, including knowledge articles, user documentation, release notes and training content related to the product., or contact our support team.

User Delinquent Overview Report

A new global report that displays all the users who have not acknowledged the assigned publications within a specified timeframe has been introduced, making it easy to track and manage user compliance.

Deny Access to PolicyHub Library

PolicyHub now allows users to restrict access to all folders in the PolicyHub Library at once for a specific role, using the newly added Deny Access option in the PolicyHub Library's context menu on the Role Management page.

Other Enhancements

  • The Library Item Summary Report now features the following two new columns:
    • On Behalf Of – Displays the name of the person or department the library item was uploaded On Behalf Of.
    • Source – Displays the name of the person or department identified as the Source of the library item.
  • The expand/collapse functionality for More Search Options on the My Library page is now configurable. By default, the section is expanded.
  • The User Compliance Overview Report has been updated to generate the report based on the dates the publications were received by the users.
  • Workflow notification emails sent to recipients can now include document name(s), along with the workflow name and Inbox website URL.
  • PolicyHub Inbox application now includes support for digital signatures on documents.
  • The review reminder notifications are now sent from the system or domain’s standard email address rather than the email address of the user who created the notification.
  • A Search filter has been added to the Workflow Designs page, allowing you to search or filter workflow designs by name.
  • The left pane on the My Library page can now be collapsed or expanded as needed
  • The auto-numbering of questions on questionnaires is now configurable. Depending on the configuration, question numbers may be shown or hidden. By default, they are displayed.
