Circa Outreach 1.0 Release Notes
This release notes details the information related to enhancements, improvements, and resolved issues in Circa Outreach 1.0 release. With this release, our clients will be able to take advantage of a range of exciting and highly requested features:
Enhancements/Improvements
Enhancement: Employer Communication Tool
Description: The new features allows users to take actions for one or many organizations/organization Contacts from a search or list view, or individually from organization profile, or contact profile views. Clicking on the displayed email would open up the option to send Message, which sends an email to recipients’ inbox while tracking in OMS.
The user can respond via their email inbox, OMS Activity Center, or Recent Activity on their organization profile or organization contact profile. All communications and their history are tracked, reportable, available, and manageable in the OMS Activity Center, or through Recent Activity.

Enhancement: Outreach Admin Bounce Management
Description: Outreach admins are equipped to clean up invalid Organization and Organization Contacts and their respective data. The new page for Bounce Management has the list of all bounce incidents and available actions. These are logged on a profile’s activity or audit log in Admin along with the details date/time, message type (outreach agent, Linkage Agent, direct message), who sent it and bounce reason. The new update sends out automated email to the Organization Email when a contact hard bounces

Enhancement:Communication Requirements by Organization/Contact Status
Description: Users are restricted from engaging with an organization/contact based on its status. The following are the three statuses with communication restrictions :
- Under Circa Review: The default status for when an employer has added an Organization/contact but Circa has not yet reviewed. The customer under this status will have very limited access. They can search for organizations, log manual activities, send messages but bounced messages won’t go to the Admin's Bounce Management list. Customers cannot add profiles in this status to Linkage Agents.
- Unverified: Circa was not able to verify the Organization and/or contact or has determined that it's not a valid Organization/contact to add to the directory. The employer who added the Organization moved to this status can still view this Organization and related profiles, and search for these organizations, which will appear in the search results. Employers can add manual activities to profiles in this status. Employers cannot add profiles in this status to Linkage Agents. Employers can Message profiles in this status if they have an email associated, but bounces won’t go to Admin's Bounce Management list.
- Inactive : This status is assigned to Organizations that are dissolved or no longer open/in existence as well as Organizations that do not wish to be included in the directory; assigned to contacts no longer at that org.
Employers are able to view these Organizations, but not be able to message these Organizations. These Inactive Organizations won’t be able to add Organizations to Linkage Agents. These Organizations are deprioritized in search results and can be filtered to pull into search.

Enhancement: Employer Activity Center
Description: This is to allow Employers and Community Based Organization (CBO)'s to view history and manage their messages and other activities via the Activity Center in OMS. Info displayed is aggregate information across the customer/organization. Activities/Messages can be opened to view additional detail and to perform any further activities.
Activities will appear in a list view, defaulted by date, can be sorted according to date range, activity type or by user and can also choose the data to be displayed. Users can export Activity Center results to csv/excel based on their search/filters .

Enhancement: Candidate Sharing Tools
Description: The candidate sharing tool allows Organization and Contacts to submit a Candidate Referral to an Employer Contact, with or without Job title and Request number. Candidate referral Page or Form submitted to employer contains the submitting Organizations/Contacts information along with the candidate information such as Opted Job titles, Name, Email Address and candidate summary . This form also includes the ability to add attachments, Circa branding, Link to the job posting and contact info.
All Candidate Referrals across all origins and submittal options are tracked and reportable in the Outreach management tool. Employers can view submitted referrals, download resume, copy summary in Outreach, or as prompted by email notification. Two confirmation emails are send out upon Successful candidate submission via the form, they are:
- An email to the employer with candidate summary and resume
- An email to the individual who submitted the candidate

Enhancement: Employer Ability to add Organizations and Organization Contacts to OMS
Description: Admin has the ability to identify and merge Organization Profiles or Contact Profiles, these profiles maintain the tie to the customer that added them. In addition, Employer users are able to add Organization Contact information while adding Organization information or from the Organization profile page.
When new Organization Profiles and Contact Profiles are added, they are created in "Under Circa Review" Status and these records are visible and available to send messages for customers along with warnings. Any user who is part of that same Employer under this status can also see and take action on that record. Customers cannot add profiles in this status to Linkage Agents.
If an additional customer attempts to add a Community Partner or profile content in this status, they will be able to, and the capability to merge Community Partner profiles will be available to admin. Duplicates are categorized based on the certain fields despite their status.
- For Organization Profile, the fields considered for potential duplicate are:
- Organization Name
- Website
- Phone
- For Contact Profile the fields considered for potential duplicate are:
- First and Last Name
- Organization- Priority 1 check to consider duplicate
- Email - Priority 2 check
- Phone
The rules set for filtering duplicate won’t allow users to add Organization Profiles with exact matches in these fields:
- Organization Website
- Organization Email
- Organization Phone
Users are not allowed to add Contact Profiles with existing email addresses to an Organization Profile. While entering a duplicate Organization Profile or Contact Profile, users will receive warnings based on their statuses, and be directed to the existing Organization Profile or Contact Profile matching.

Enhancement: Notifications of Organization/Contact Status
Description: Automated email notifications are sent out to the Organization and Organization contacts when they are added by an employer. Email Notifications and in product notifications will be generated to employer users who added the profile, for these reasons :
- Under any conditions, if an Employer Agent is removed from the Agent.
- If an Employer Agent is unsubscribed as the Agent.
- If an Organization or contact added by the employer changes its statuses.
Email Notifications and in product notifications are generated to employers for successful candidate referral submissions. Autofilled fields are set to link Organization name with Organization profile, contact name with contact profile, agent name and ID with the Agent on the Agent Management Page.

Enhancement: Admin Controls
Description: Additional OMS Admin controls allow Admin to bypass potential duplicate records for efficient management of Community Based Organization (CBO)'s data and updates. Admin has the ability to open or view potential duplicates. Flag appears when a field is entered and upon attempting to submit.
- For Organization Profile, the fields considered for flags are:
- Organization Name
- Website
- Phone
- For Organization Contact Profile, the fields considered for flags are:
- Name
- Phone
Note: only checks for duplicates at the same Organization, Organization Contacts can be part of multiple Organizations with same email

Description: Collaborative effort with Data Acquisition and Retention Team to rebuild legacy outreach system and revamp what Community Based Organization (CBO)'s receive from employers, optimizing engagement and activity.
