Circa Outreach 1.0 Feature Summary
Introduction
The first phase of Outreach is an early access period in which users can explore the Search, Activity, and List pages. Any activities logged during this period will be automatically erased after the opt-in period. Outreach cannot be used for reporting purposes during this time. All good-faith efforts and compliance activities continue to be logged under the OFCCP Compliance menu option.
The second phase of Outreach will include email workflows and automations, and actions on the Activity page.
Employer Communication Tools
The new features allows users to take actions for one or many organizations/organization contacts in different ways. Clicking on the displayed email would open up the option to send a message, which sends an email to recipients’ inbox while tracking in Outreach.
The user can respond via their email inbox, Outreach Activity Center, or Recent Activity on their organization profile or organization contact profile. All communications and their history are tracked, reportable, available, and manageable in the Outreach Activity Center, or through Recent Activity.
Employer Activity Center
Employer Activity Center allows employers and CBO's to view history and manage their messages and other activities via the Activity Center in Outreach. Information displayed is aggregate information across the customer/organization. Activities/messages can be opened to view additional detail and to perform any further activities.
Activities will appear in a list view, defaulted by date, can be sorted according to date range, activity type or by user and can also choose the data to be displayed. Users can export Activity Center results to csv/excel based on their search/filters .
Candidate Sharing Tools
The candidate sharing tool allows organizations and contacts to submit a candidate referral to an employer contact for general consideration, with or without job title and request number. A candidate referral page or form submitted to the employer contains the submitting organizations/contacts information along with the candidate information such as opted job titles, name, email address and candidate summary . This form also includes the ability to add attachments, circa branding, link to the job posting and contact info.
All candidate referrals across all origins and submittal options are tracked and reportable in the outreach management tool. Employers can view submitted referrals, download resume, copy summary in outreach, or as prompted by email notification. Confirmation emails are sent out to the employer and the CBO upon successful candidate submission.
Admin Capabilities
Admin has the ability to identify and merge organization profiles or contact profiles, these profiles maintain the tie to the customer that added them. And have the capability to duplicate/merge community partners and profile content as well. Based on their statuses, users will receive warnings along with possible matching profiles for duplicate organization profiles or contact profiles being created.
Additional Outreach admin controls allow admin to open, view and bypass potential duplicate records for efficient management of CBO data and updates. Flag appears when a field is entered and upon attempting to submit. This helps outreach admins to clean up invalid organization and organization contacts and their respective data.
The bounce management page has the list of all bounce incidents and available actions. These are logged on a profile’s activity or audit log in admin along with the details date and time, message type, who sent it and bounce reason.
Notifications Of Organization/Contact Status
Automated email notifications are sent out to the organization and organization contacts when they are added by an employer. Email notifications and in product notifications should be generated to employer users who added the profile, if an agent is removed or unsubscribed and for any employer status changes.
Email notifications and in product notifications are generated to employers for successful candidate referral submissions. Autofilled fields are set to link organization name with organization profile, contact name with contact profile, agent name and id with the agent on the agent management page.
Add Organizations and Organization Contacts To Outreach
Employer users can add organizations from the search pageant, as well as add organization contact information while adding information for the organization or from the organization profile.
Users are restricted from engaging with an organization/contact based on its status, as follows:
- Under circa review: the default status when an employer has added an organization/contact but circa has not yet reviewed.
- Unverified: circa was not able to verify the organization and/or contact or has determined that it's not a valid organization/contact to add to the directory.
- Inactive : this status is assigned to organizations that are dissolved or no longer open/in existence as well as organizations that do not wish to be included in the directory; assigned to contacts no longer at that organization.
Customers who have created profiles under the "Under circa review" status are visible, and available to send messages. Only the Customer who created the profile, and admins, can send a message while the profile is in this status.
