Assign Existing Timekeepers to a New Client

You can assign timekeepers that have already been created in Collaborati to new clients using the following procedure:
- From anywhere in the Collaborati application, click on the Clients in the top menu bar.
- Click on the client's name.
- Click the third icon from the top on the left navigation menu ("Timekeepers")
- The Client's > Timekeepers screen displays. This list includes all Timekeepers in Collaborati.
- Click "Select Office" to choose the correct Office from the dropdown menu.
Step 6 depends upon whether the Timekeeper Bulk Assignment feature is enabled.
6A. If the Timekeeper Bulk Assignment is enabled, then check the checkbox on the left side of the screen for one or more Timekeepers. Click the "Assign Selected" button at the bottom of the screen. A confirmation window appears. Review the message carefully: "Please confirm before proceeding as performing this action will assign or unassign a timekeeper for the client, and it will affect all offices that the timekeeper is directly associated with." Click OK to approve of the message and assign or unassign the timekeepers.
6B. If the Timekeeper Bulk Assignment is not enabled, for each Timekeeper you would like to assign to this client, select the associated Assign check-box next to the Timekeeper. The page will automatically save any changes.
The Timekeepers are now associated with the client.
Note: If the client requires rate request to be submitted upon assigning Timekeepers, the firm Admin will not be able to use the Bulk Assignment feature. The firm Admin can use the Timekeeper page to assign a new client by following the steps below:
Click on "Timekeepers" in the top menu bar, select "Timekeepers", select "Office", Click on Timekeeper name, assign Timekeeper to client from "Clients" box on the right side, click on "Add Timekeeper rate" button to add Timekeeper rate, after verifying the information, Click the "Submit" button.
Note: If any timekeeper which has been selected has a pending rate request/invoice on it, such timekeeper cannot be unassigned and an error message stating the same would be displayed. The error message displayed would be: “Following timekeepers cannot be unassigned as there are pending rate requests/invoices on it : <timekeeper name,.....>”
Note: If you are part of the Firm Structure, there is a warning message: Assigning or unassigning a timekeeper for a client affects all offices that the timekeeper is directly associated with.
