Powerful Reporting Using Filters

Understand the different types of filters available on compliance reports.

Introduction

When generating compliance reports in PolicyHub, a number of filters are available to allow you to search against specific criteria and concentrate on the data you are most interested in:

Configuration Options

Depending on the type of filter, a number of different configuration options are available by clicking on the cog clipboard_e777b1ab6b8c9b687c907b653d1b04875.png :

Field Type Operator Details
Text Equals Type in text that the field must match exactly
  Equals (Select) Choose one from the available list of items to search against
  Equals (Multiple) Choose multiple from the available list of items to search against
  Doesn't Equal (Select) Choose one for the available list that shouldn't be included in the search
  Doesn't Equal (Multiple) Choose multiple from the available list that shouldn't be included in the search
  Like Type in text that must be contained within the field (but doesn't need to match exactly)
  Begins With Type in text that must be at the start of the field
  Ends With Type in text that must be at the end of the field
  Isn't Like Type in text that mustn't be contained within the field
Date Equals (Calendar) Enter a date to search against

Examples of Text field types include:

  • Publication Status
  • Publication
  • Library Item
  • Recipient

Examples of Date field types include:

  • Date Sent
  • Date Actioned
  • Date Sent From / To
  • Date Actioned From / To

You can use the green plus clipboard_ee347ba775e643a8bdd6419a70092257c.png to add a new filter.  The new filter will default to 'Equals' but you can use the cog icon to choose a different operator.

You can use the red cross clipboard_e68dfa77396aff14e519a23fb50086328.png to remove a filter.

Note: each report has a number of filters which are visible by default and will be visible each time you generate the report, even if you removed one of these filters last time you ran the report.

Examples

#1: Organizational compliance to a particular publication

  1. Navigate to Users
  2. Right-click on the top folder and select Reporting > View compliance overview report for this group > Across all dates
  3. Click on Filters
  4. Click on the green plus to add a new filter
  5. Selection Publication from the drop-down list
  6. Click on the cog to change the operator
  7. Choose Equals (Select) and click on OK
  8. Choose the relevant publication from the drop-down list
  9. Click on Update results

#2: Compliance to publications sent in a specific time period

  1. Navigate to Users
  2. Right-click on the top folder and select Reporting > View compliance overview report for this group > Across all dates
  3. Click on Filters
  4. For Date Sent From filter, choose the appropriate (e.g. first day of quarter)
  5. For Date Sent To, choose the appropriate date (e.g. last day of quarter)
  6. Click on Update results

#3: List of publications send directly to library (bypassing attestation)

  1. Navigate to Users
  2. Right-click on the top folder and select Reporting > View compliance overview report for this group > Across all dates
  3. Click on Filters
  4. For Compliance Only, select No from the drop-down list
  5. Use the green plus to add a new filter
  6. Select Status from the drop-down list
  7. Click on the cog to change the operator
  8. Choose Equals (Select) and click on OK
  9. Choose Direct Into Library from the drop-down list
  10. Click on Update results
