LegalHold 4.0.0 Release Notes

This release notes detail the information related to Enhancements, Improvements, and Resolved Issues in LegalHold 4.0.0 release. And this release introduces a range of exciting and highly requested features aimed at enhancing the LegalHold workflow for our clients:

  • Integration and API Enhancements: This release introduces the ability to link a LegalHold to a TeamConnect matter by associating the matter number, enabling seamless integration between the two systems. LegalHold API endpoints now support user creation, allowing system administrators to automate user provisioning and dynamically manage access control. We have also updated the LegalHold API to maintain compatibility with TeamConnect integration and removed threading dependencies from Purview Case creation by introducing configurable timeouts, improving performance and reliability.

  • Document Handling and Attachment Workflow: Document management has been significantly improved. We have implemented new logic to support uploading files larger than 10 MB and attaching multiple files per hold notice directly to Azure. The Azure-based attachment workflow has also been enhanced with a 25 MB upload limit, timestamped filenames to prevent duplicates, a new folder structure for better organization, and a metadata column for flexible Azure file access. These changes ensure efficient handling of large legal documents and maintain compatibility with My Portal.

  • Matter and Hold Management: Configurable auto-numbering for matters and holds has been introduced for non-ELM clients, allowing administrators to define client-specific formats using prefixes, separators, and sequential numbers. Matter reuse has also been improved by automatically adding the associated matter name and number to lookups once a hold is sent, reducing duplicate entries and streamlining workflows. Additionally, Matter Name and Matter Number are now displayed in the Hold Tile View for quick reference.

  • Reporting and Customization: We have added a filter for Unsent Holds in the Custom Report Designer, enabling more precise reporting. Custom field configuration has been enhanced with the ability to create custom field lookup types using existing or custom lookups, including multi-select support, providing greater flexibility to meet diverse business requirements.

  • User Experience Improvements: Navigation across Manage Holds and related pages now retains the last viewed page, sort order, and “Show Entries” setting when returning from detail views. User preferences are also saved for Recipient, Response, and Legal Staff pages across sessions. Additionally, the “Save and Continue” button has been split into two distinct options “Save Changes” and “Continue” to prevent accidental re-sending of hold notices when reviewing templates.

Enhancements/Improvements

Enhancement: Ability to link a LegalHold to a TeamConnect matter.
Description: We have added the ability to link a hold created in the LegalHold module to TeamConnect, by adding the matter number to LegalHold.

Enhancement: Enabled user creation via LegalHold API endpoints.
Description: System administrators can now automate user provisioning through API, supporting dynamic access control. This allows external systems to create users based on role approvals and automatically revoke access when roles change. Previously, LegalHold API endpoints were read-only.

Enhancement: New logic created to upload documents 
Description: We have created logic to upload files larger than 10 MB and attach more than two files per hold notice directly to Azure in the Notice & Preservation notices workflow to manage large legal documents efficiently and meet legal hold requirements.

Enhancement: Azure-Based Attachment Workflow Enhancement
Description: We have enhanced the attachment workflow to use Azure file content across key notifications. The updated areas are: 

  • Notice test email
  • Notice approval (Hold issuer notification)
  • Preservation test email
  • Recipient and related notifications (e.g., data stewards, staff)
  • Non-respondent notification email

Key Improvements:

  • 25 MB upload limit enforced globally
  • New folder structure: Container/attachments
  • Timestamped filenames to avoid duplicates
  • New metadata column attachment_path for flexible Azure file access
  • My Portal compatibility maintained

Enhancement: Added a days parameter to LegalHold password settings.
Description: Clients can now configure password expiration policies by specifying a number of days. By default, passwords do not expire unless explicitly set by the client.

Enhancement: Introduced configurable auto-numbering for matter and hold numbers for non-ELM clients
Description: Autonumbering for matters is being added in the new Manage Matters module. Admins can now define client-specific formats using prefixes, separators, sequential numbers, and matter details for streamlined hold management. 
    When the auto-numbering setting is enabled, selecting a matter type during hold creation will auto-populate the matter name and ID fields with suggested values. These fields remain editable, allowing users to accept or modify the proposed values as needed.

Enhancement: Enabled creation of custom field lookup types using existing or custom lookups with multi-select support, available in the Custom Field object within the Custom Report Designer. This allows system administrators to flexibly configure data fields to meet diverse business requirements.

Enhancement: Improved user experience in Manage Holds and related pages.

Enhancement: Improved matter reuse in LegalHold.
Description: Once a hold is sent, the associated matter name and number are now automatically added to lookups. This allows clients to reuse existing matters and helps prevent duplicate entries.

Enhancement: Removed threading dependency from Purview Case creation in the API.
Description: Previously, threads were used to wait for the ediscoveryCaseId from Purview due to Graph API delays. With the introduction of configurable timeouts in both Graph and LegalHold API calls, threads are no longer needed.

Bug Fixes 

Issue: We have resolved the issue where API users could not create or update email templates.

Issue: We have resolved the issue where users could add new comments on Contact Me after the hold was released. This was due to missing validation for the hold status. A flag has been added to verify the status, and the Contact Me text area and button are now disabled when the hold is released.

Issue: Resolved a problem where the Questionnaire Analysis report failed to export large datasets (21,000+ records) to CSV.

Issue: Fixed an issue in Legal Hold deployments integrated with TeamConnect where restricted users could access confidential information related to holds, matters, and recipients in report previews, CSV, and PDF exports.
