Lock Document Editing when being Edited by Two Users Simultaneously

The Integrum application has introduced a new lock document functionality to resolve the conflict of creating multiple acknowledgements for the same document. This functionality allows only one user to edit the document at a time. When two users are editing a document simultaneously, the system allows the user to lock the document from being edited by the second user. This functionality resolves the creation of conflicting acknowledgements of a document after saving it.

The following information gives an understanding of how the lock document functionality works:

Editing a Draft Document:

  1. Both users should navigate to the Operation Control sub-module from the Implementation & Operation module.
  2. When two users ‘User 1’ and ‘User 2’ open and edit the same document, the system displays a prompt message to User 2 which is as follows “This control document is already locked by ‘user name’”.

3. The User 2 should not be able to perform the following actions:

  • Submit to Author
  • Put document to Review
  • Update Assignee
  • Submit to Approver
  • Delete a document

     Note: When User 2 tries to perform the above functions, the system displays the same prompt message again.

4. When user 2 locks the document and edits the document, the user 1 is not allowed to perform the aforementioned functionality.

 

Editing an Authorized and Ready to use Document

  1. Both users should navigate to the Operation Control sub-module from the Implementation & Operation module. Both users should open the same document irrespective of the status of the document.
  2. When User 1 clicks on the Edit button and User 2 clicks on the same document Edit button, User 2 should not be allowed to Edit the document and the prompt message "This control document is already locked by ‘user name’" should be shown.

3. When User 1 clicks on each button, User 2 should not be able to do any action on the same form.

E.g., the User1 clicks on Put Document into Review, User 2 should not be able to do any action on the same document and vice versa.

 

No Conflict Message Shown when User Clicks on Document Change Request, Email Link, and Initiate CAR

  1. Both users User 1 and User 2 should navigate to the Operation Control sub-module from the Implementation & Operation module.
  2. Both users should open the same document, when User 1 clicks on the buttons Document Change Request, Email Link, and Initiate CAR, User 2 should be not shown with a prompt message when these buttons are clicked.

 

No Conflict Message Shown when User Clicks First on Add Bookmark Button Without Clicking on Edit Button

  1. Both users User 1 and User 2 should navigate to the Operation Control sub-module from the Implementation & Operation module.
  2. Both users should open the same document with status (Authorized and Ready to use), when User 1 clicks on the buttons Add Bookmark, Relaunch Revision/Competency Assessment Notifications, Resend/Competency Assessment Notifications button, User 2 should be not shown with prompt message
