Include 'Archived' Status in Retention Policy Workflow
The Retention Policy feature allows administrators to define how long form data should be retained based on its workflow status. Currently, the workflow status dropdown under Enable policy on Workflow status includes options such as Draft, Open, Review, Completed, Approved, and Rejected. However, it does not include the Archived status.
The Archived status is automatically assigned to forms when the Review Smart Form function is enabled, and a new version of the form is created.
Configuration Steps
To include the Archived status in the Retention Policy workflow:
- Navigate to the form template where you want to configure the retention policy and open the form template settings
- Scroll to the Retention Policy settings area and locate the retention policy section
- Ensure the radio button for Enable policy on Workflow status is enabled by selecting Yes.
- In the Select status dropdown, select Archived from the list of available statuses.
- Click Save to apply the updated settings.
