Resending Emails for Status and ICWS Actions

A new option has been implemented to control email behavior for status and ICWS responses. Previously, the system sent emails only the first time a response was used. If users repeated the same action during the event lifecycle—for example, submitting again after a rejection or initiating ICWS multiple times — no additional emails were sent, even though the workflow actions completed successfully.

The configuration now includes a Re-send Mail checkbox for status response buttons (Submit, Approve, Reject) and ICWS buttons (Initiated).

Previous Behavior
  • When Send Email was enabled, the system sent an email only on the first click of the button.
  • Subsequent actions (Submit, Approve, Reject, ICWS) did not trigger another email, even though:
    • The status changed correctly.
    • Other workflow actions were executed as expected.

This behavior affected:

  • Status responses: Submit, Approve, and Reject.
  • ICWS buttons used in event workflows.
Enhanced Behavior
  • When the Re-send Mail option is selected:
    • The system sends an email each time the action is executed.
    • Emails are triggered in the following cases:
      • Initial submission or approval.
      • Subsequent submissions after rejection.
      • Actions performed after Reopen.
      • Repeated ICWS initiations.
  • When the Re-send Mail option is cleared:
    • The system behaves as previously described.
    • Emails are sent only the first time the configured response is used.
    • Repeated actions do not send additional emails.
How to Enable Re-sending Emails
  1. Open the event form in Edit mode.
  2. Navigate to the section containing the button (Submit, Approve, Reject, or ICWS).
  3. Edit the button configuration.
  4. Configure Send Email with the desired recipients and template.
  5. Select the Re-send Mail checkbox.
  6. Save the configuration and publish or save the form.

Once enabled, each time the user performs the corresponding action, the system sends an email according to the button’s configuration.

Example Workflow (with Re-send Mail enabled)
  • User clicks Submit → Status changes to Submitted → Email sent.
  • User clicks ICWS → Status changes to Initiated → Email sent.
  • User clicks Reject → Status changes to Rejected → Email sent.
  • User clicks Approve → Status changes to Completed → Email sent.
  • User reopens the event and repeats the Submit, ICWS, Reject, or Approve steps. The status transitions correctly each time, and an email is sent for every action.
