Business Fields - Actions

Business Rule Fields for CMO Actions.

The following table details the Actions fields as well as their functionality and impact on users.

Each of these settings can be found by following this path in CMO:

  1. Log in as an Admin.
  2. From the home screen, click Admin.
  3. Click Business Rules from the side bar menu. 
  4. Click your company name.
  5. You will automatically land on the Business Rules Settings page. 
  6. From here, click the Fields tab in the top left corner of the page.
  7. Navigate to the Actions section of the page. 

The table below describes setting options for the Action section on the Business Rules - Fields page. 

Setting Functionality
Action CC Field When checked, this feature places a carbon copy field in the Action window. Carbon Copy field will allow a user to create a "carbon copy" notification of the action to send to another user.
Hours Taken When checked, this will display the total hours taken from the time an Action is created to the time an Action is completed
Action Status When checked, an Action Status field displays in the Action window. Statuses are controlled through the Edit Action screen and are displayed on each Action's details page.  
Due Date When checked, an Action Due Date field displays in the Action window. Setting due dates allow Actions to be overdue.
Responsibility When checked, this allows a user to select a Responsible Person for the Action. The Responsible Person will receive notifications if the action is overdue.
Org Unit Field

When checked, the Org Unit field is displayed as a drop-down menu in the New Action screen.

Note: CMO discourages users from disabling this field. Actions without Org Units will require Org Units before they can be edited.

Action Date Recorded

The action creation date will be recorded in the Action panel if enabled. This will display in the detailed view of an Action as a non-editable field. 

Note: The recorded date will display in the Action Register regardless if it is checked or not.

Add Follow-on Action When checked, a Follow-on Action link will appear in the Operations menu on the Action Details page. Users can click the Follow-on Actions link to create a new Action that will be linked/referenced to the original Action. 
Allow New Responsible parties to be added by End Users

This allows new responsible parties to be added from a green + icon on the Action and Perform Action Panels when creating an Action.

Note: CMO suggests this feature stay disabled. This action should be left to Global Admins.

Action Level

When checked, the Action Level feature adds an Action Priority drop-down menu to the New Action screen. 
Note: If this feature is disabled, the Action Level Mandatory check box will disappear from the Business Rules - Fields page (below).

When checked, the Action Level Mandatory field becomes a *required field. 
Note: This feature can be enabled or disabled without any affect on the Action Level feature (above).

Action Comment (Perform Event) When checked, the Action Comments field displays in the Action window when creating an action from within an Event or Form.
Allow default Actions to be created during Perform

When checked, this feature allows default Actions to be created during an Event.

Note: CMO suggests this feature stay disabled. If disabled, users will be able to freely add multiple Actions to the default list without management.

Allow Default Actions to be created on Action list > New Action Form

When checked, this feature allows default Actions to be created during a once-off Action creation. Once-off is an option choice in the Action Schedule field drop-down menu. 

Note: CMO suggests this feature stay disabled. If disabled, users will be able to freely add multiple Actions to the default list without management. 

Save & New When checked, this allows a user to Save their Action and create a new one without re-clicking the New button on the Action landing page.
Pending

When checked, this allows users to create pending Actions.

Note: This is a Legacy option that should always remain checked. 

Guidance When checked, a Guidance Text dialogue field will appear in the New Action screen. A user can manually enter a description which will appear in an small, blue information bubble in the Action Perform view. The text entered will act as a tool tip.
Action Library

When checked, the Action Library field displays on the New Action window. Users would select from saved actions that were added to the Action Library. Adding actions to the Action library allows users to copy these actions as a template for future actions. 

Note: The Actions Library is an additional tab available on the Action landing page. CMO suggests this field stay disabled. 

Show Scheduled Actions If checked, Scheduled Actions set to auto-create will appear on the Action register as well as the Actions Calendar, given they have a frequency interval of weekly or longer. Users can schedule an Action by changing the Once-Off setting to Scheduled in the New Action screen. 
Type Filter on Action List When checked, the Entity Type column will appear on the Action register. This column will only appear if the Action was created on an Event that was assigned a Type.
Related Risk Filter on Action List When checked, the Related Risk filter displays on the Action register , and filter action on their associated risk for Actions that were created. 
Between Defined Dates Scheduled Type

The following schedule range options apply to Schedule Actions:

Between Defined Dates - If this link is clicked, users can choose a start/end date to set their
 action to.

Upon Prior Completion - Actions will be scheduled when the previous action has been
completed. 

Based on Interval - If this link is clicked, users can set an interval schedule for the action to
 automatically reoccur (ex: weekly or monthly).

Action Progress When checked, the Action Progress bar appears in the New Action screen and a column displays in the Action register.
Hide Archived Actions by Default When checked, Actions that are associated to archived Licenses or Obligations will automatically be hidden on the Action register. 
Show Title, Doc Type & Doc Folder when adding attachment to Action When checked, a user creating an Action attachment is able to define the document settings when the attachment is automatically moved to the Documents Module. 
Enable Duplicate Action Functionality When checked, Actions (and any attachments) can be duplicated by a user.
Allow Pending Import Action When checked, this allows users to import actions that are not yet completed.
Number of Follow-on Actions Use this drop-down menu to select a number of follow-on Actions that can be added to a parent action. Follow-on actions are designed to be completed after the initial action is completed. 
Show Simple New Document Dialog for Action Attachments

When checked, users can select which fields will display in the Add Attachment window. This pop-up window displays after adding an attachment to an Action in the Action panel. 

Note: This is available when Action attachments are set to import directly into the Documents module.

Action Category Mandatory When checked, the Action Category field will be mandatory when creating a new Action.
Close Finding when its Actions are closed

When checked, this will close any findings/risks created against a question in an Event once the related Action has been closed. 

Note: This is only available if Finding Status is enabled.

Calculation report Action Age through Due Date + Current Date / Completed Date

When checked, CMO provides an alternate logic used to calculate Action Age. Action age is Due Date minus Current Completed Date, or alternatively Creation Date minus Completed Date. 

Note: This is a common metric used in several action reports and some dashboards to calculate how many days an action stays open past the completion date or date vs. the date it was initially created. 

Copy Attachment to Follow-on Action When checked, Action attachments will be carried down to follow-on actions (if follow-on actions are enabled).
