Tender Requests

This article provides the detail explanation about Tender requests.

Tender Request functionality is designed to be utilized by clients with Collaborati Spend Management (CSM) 4.0 Update 4 and later. Collaborati Spend Management users prior to version 4.0 Update 4 (4.0.4) can examine the CSM 4.0 Update 4 release notes found here for more detail.

Tender Requests must be affixed to a created dispute. TeamConnect also allows you to send multiple tender requests from a single matter to the same office, so that you can receive separate tenders on divided portions of work on the same matter.

The procedures below outline the necessary criteria for creating a dispute compatible with tender requests.

Setting up a Matter for Tender Requests

Tender Request functionality is designed to be utilized by clients with Collaborati Spend Management (CSM) 4.0 Update 4 and later. Collaborati Spend Management users prior to version 4.0 Update 4 (4.0.4) can examine the CSM 4.0 Update 4 release notes found here for more detail.

Tender requests can be assigned to any matter that is budget-enabled. The steps below outline the process necessary to set up a matter for tender requests, using a dispute as the template.

Setting up a Matter for Tender Requests

  1. Click New Dispute from the Disputes screen of the Legal Tab.
  2. Enter the Matter Name, Description, and all desired data via the navigation tab on the left of the screen.
  3. The Categories tab must be changed from its default to a new relevant category.

  4. Save the dispute.
  5. Include the Outside Counsel Firm by clicking the Involved/Assignees link and clicking New to add the office. This office must be set as Outside Counsel Firm for tendering requests to function.
  6. Save the dispute.
  7. Navigate to Budgets and create a new budget for the dispute and assigned office. Note: See Creating or Editing a Budget for more details.
  8. Click Save and Finish.

Creating and Submitting Tender Requests

Now that the Tender Request Dispute has been set up (see: Setting Up a Matter for Tender Requests), follow the steps below to create and submit your tender request.

Creating and Submitting Tender Requests

There are two different methods available for creating tender requests.

From the Custom Object

  1. Select your Custom Object.
  2. Select your matter or click New
    Note: See Setting up a Matter for Tender Requests for more information.
  3. Click Tendering from the left side navigation bar.
  4. Click Create Tender Requests.

  5. Select the Office and Matter and enter a due date. Click Finish.
  6. Click Save.
  7. Click the Request Number to add Notes and Comments if desired. Click Finish.
  8. Click Submit to finalize the tender request creation process.

Users can also finalize and send the tender request by clicking Change Phase -> Submit.

From the All tab

  1. Select Tender Requests from the CSM Settings section of the All tab.
  2. Click New on the Tender Request screen to begin creating a new request.
  3. Select the Office and Matter and enter a due date. Click Finish.
  4. Click Save.
  5. Click the Request Number to add Notes and Comments if desired. Click Finish.
  6. Click Submit to finalize the tender request creation process.

Users can also finalize and send the tender request by clicking Change Phase -> Submit.


New Tender Request

Automatically Generated Tender Requests

Tender Request functionality is designed to be utilized by clients with Collaborati Spend Management (CSM) 4.0 Update 4 and later. Collaborati Spend Management users prior to version 4.0 Update 4 (4.0.4) can examine the CSM 4.0 Update 4 release notes found here for more detail.

TeamConnect can be setup to automatically generate tender requests for a designated account. Automatically generated tender requests require an established connection to a Collaborati account and existing office.

Setting up for Automatically Generated Tender Requests

Tender Requests can be enabled for automatic tender request generation for all matters. The sections below outline the setup process for applying automatic generation to any new custom object. Adjusting E-Billing Roles and Adjusting Tender Requests for Automatic Generation should not have to be repeated for every issue with a office. Finalizing Objects for Automatic Generation details the process that must be completed each time you have a new object.

Adjusting E-Billing Roles

  1. Ensure that the Connection Settings of CSM Settings are accurate.
  2. Navigate to E-Billing Roles in CSM Settings.
  3. Add a new object by selecting Involved for Object Type, your desired object in Object, and your created role in Role. See Using the E-Billing Roles page for further information.
  4. Click Save and Close.

Adjusting Tender Requests for Automatic Generation

  1. Select Tenders from CSM Settings.
  2. Ensure Tender Collaboration is turned on.
  3. Click Edit for Tender Settings.
  4. Select the checkboxes for the Matter Categories that you want to have automatically generated requests.

Finalizing Objects for Automatic Generation

The final step for setting automatic tender request generation must be repeated for each new object.

  1. Navigate to your desired custom object.
  2. Click New from the navigation bar.
  3. Enter the desired name (Note: Matter ID can be left blank).
  4. Save the object.
  5. Click Accounts

Attaching Documents to Tender Requests

Tender Request functionality is designed to be utilized by clients with Collaborati Spend Management (CSM) 4.0 Update 4 and later. Collaborati Spend Management users prior to version 4.0 Update 4 (4.0.4) can examine the CSM 4.0 Update 4 release notes found here for more detail.

Documents marked with the Tenders category are available for attachment to Tender Requests. Users can attach documents in multiple ways, including attaching documents to new requests, multiple documents and offices at once, and attachments for existing requests.

Adding Directly to Tender Request

  1. From the All tab, select Tender Requests.
  2. Select the desired tender request.
  3. Click Documents from the sidebar.
  4. Upload documents via the Upload button on the toolbar.
  5. Sync with Collaborati for these changes to be reflected.

Adding to Document Pool

  1. Navigate to your Custom object.
  2. Select the desired matter.
  3. Click Documents from the sidebar of the Tender screen.
  4. Click the Upload File button on the left of the toolbar to add documents to the pool for your object. These will automatically have the category of "Tender" applied.

These documents are not synced over with a matter. However, they can now be selected in the Copy Documents wizard detailed below.

Attaching Documents to Existing or Multiple Requests and Offices

Users can also attach documents to an existing tender request or attach multiple documents to multiple offices at once via the document attachment wizard.

  1. Select the Custom Object.
  2. Select the Matter.
  3. Choose Tendering from the sidebar.
  4. Select Copy Documents.
  5. Select the office and documents.
    Note: Only documents added to the Documents tab of the matter will be visible. For more information, see Adding to Document Pool above.
  6. Click Finish.
  7. Sync with Collaborati to transfer these changes to your office.

Attachment Volume

Changes in TeamConnect require users to sync with Collaborati for the documents and information to transfer to offices.

The system is currently able to handle the following volume of items in a single sync:

  • 50 matters
  • 3 tender requests per matter (150 tender requests total)
  • 4 documents per tender request (1.25MB each, total of 5MB x 150 tender requests = 750MB total).
