Reviews

When review documents are returned with comments or changes, the Publisher can Accept or Reject changes to Word documents and read comments returned with any type of document.

To see the comments and changes returned by the document reviewers, in the library, select the document which was sent for review, rightclick on it, and, from the menu, select View publications containing this document. This option lists all the Publications which have been created which include the selected document. Select the required Publication whose Publication type is Review request.

View Reviews Of This Publication

Select View reviews of this publication to open the View Document Reviews page.

Note: This option is not available for Review Publications which have the status Still to be Published.

Documents available for review

Each document which was sent in the selected Publication can be selected by clicking on the dropdown list beside

Review status

When the document’s Review status is:

  • Pending conversion – the selected review document has not yet been sent to the reviewers as they are being converted to the appropriate format before being sent.
  • In progress – the selected review document has been sent to the reviewers but not all the reviewers have completed the review.
  • Complete – the selected review document has been reviewed by all reviewers.

Status

image – the reviewer has not yet reviewed and submitted the document. See User has not reviewed the document, below.

image – the reviewer has returned the document without any changes or comments.

image – the reviewer has returned the document with changes or comments.

User name

The name of each of the recipients of the document(s) sent for review.

Selected user

The name of the reviewer whose User name is selected.

Reviewed

Indicates whether the User has reviewed the document and, if they have, whether they returned any comments and/or modifications.

  • User has not reviewed the document – the reviewer has not yet reviewed and submitted the document.
  • User has accepted the document – the reviewer has returned the document without any changes or comments.
  • User has modified the document – the reviewer has returned the document with changes or comments. Reviewers can make changes to Microsoft Word documents but not to any other type of document (such as PDF). Reviewers may return comments for all types of document.

User comments

Displays the comments the User added to the comments box after reviewing the document. If the reviewer made no changes and left no comments, the text Document accepted without modifications is displayed.

Publisher comments

The User who is viewing the document review can add comments to the Publisher comments text box. Publisher comments can be added for Users who have completed the review of the selected document only. Enter the comments in the Publisher comments text box and click Save to save these comments.

Save

Save the Publisher comments.

Review complete

Changes the Review status to Complete.

Close

Close the View Document Reviews page and return to the Publications page.

Viewing Review Comments

Once changes and/or comments have been returned, the Publisher can read the comments returned by the reviewer.

When multiple documents were sent for review in a single Publication, use the dropdown list beside Documents available for review to select the document you want to investigate.

To view the comments returned by a User, select the User name from the list on the left. The comments are displayed in the User comments box on the right. When the review document is not a Word document, the reviewer cannot make changes to the review document. Any changes the reviewer suggests must be entered as comments. The Publisher should then read the comments returned by each reviewer and decide which of the comments to implement.

When a User accepts a Word document with no changes, or returns any other type of document without any comments, Document accepted without modification is displayed in the User comments box.

The Publisher can add comments in the Publisher comments box. Click Save to save the entered text.

Viewing Changes Made To A Review Word Document

Accept Selected

When a Word document has been reviewed by more than one reviewer, the Publisher can accept all the changes in all the selected documents without accepting each change individually. A new revision of the document is then added to the library containing all the changes in the selected documents.

Note: This button is available when two or more reviewers (who have completed the review) are selected only.

View Original

Click View original to view the original document which was sent for review.

View Selected

When a Word document has been reviewed, the Publisher can decide which changes to accept and which changes to reject.

Select one or more reviewers who have completed the review and click View selected. The changes made to the documents by all the selected reviewers are merged in to one Word document. When View Selected is clicked, the View changes in selected review documents dialog is displayed.

The buttons shown are described below.

Open Document For Editing

When the Publisher clicks Open document for editing, the document which contains all the changes from the selected User(s) is opened in Word. The Publisher can then view each change and Accept or Reject it. The Publisher can then save the document and close Word. The View changes in selected review documents dialog now offers the following options.

  • Publish revision – the newly saved revision is uploaded and included in the list of Items to be published on the Build New Publication page. You can then complete the options and Publish the new revision.
  • Send for review – the newly saved revision is uploaded and included in the list of Items to be reviewed on the Build New Review Publication. You can then complete the options and send the new revision for review.
  • Save as new revision – the newly saved revision is uploaded and is added as a new revision of the original document to the PolicyHub library.
  • Cancel – the newly saved revision is discarded and you are returned to the View Document Reviews page.

View Document (Read Only)

When the Publisher clicks View document (read only), the document which contains all the changes from the selected Users is downloaded and opened in Word. The Publisher can then view each change. However, any edits the User makes are not uploaded to PolicyHub. When Word is closed, the User is returned to the View changes in selected review document dialog. From here they can Open Document For Editing, View Document (Read Only) or Cancel.

Cancel

Click Cancel to close the dialog and return to the View Document Reviews page.

Viewing Changes Made To A Review Document (Not Word)

When nonWord documents are reviewed, the reviewers return all their changes as comments see Viewing Review Comments).

Note: Reviewers cannot make changes to a review document if the document is not a Word document.

Accept Selected

The Accept selected button is not available for reviews of Documents which are not Word documents.

View Original

Click View original to view the original document which was sent for review.

View Selected

The View selected button is not available for reviews of Documents which are not Word documents.

Viewing Changes Made To A Review Test Or Questionnaire

When a Test or Questionnaire is sent for review, it is first converted to a Word document.

Reviewers can make comments in the Word documents and these comments can be viewed by the Publisher. The Accept selected button is not available for review Tests and Questionnaires because the edits made to the Word document cannot be converted to changes to the original Test or Questionnaire.

Test Startup Comments

The Startup comments given to the Test.

Questions per Page

The value assigned to Questions per page for the Test.

Test time

The amount of time in seconds given to the recipient to complete the Test. The Test time is shown to the user.

Extra lease time

The amount of extra time in seconds given to the user. This extra time is not disclosed to the user.

Required same questions for Retest

When the option Use same questions for retest is selected, this is Yes. When the option is cleared this is No.

Notify the User score

When the option Display test score is selected, this is Yes. When the option is cleared, this is No.

The remainder of the Review Test includes the configured sections and the questions in each section.

Select one or more reviewers who have completed the review and click View selected. The changes made to the review documents by all the selected reviewers are merged in to one Word document. The merged document is opened in Word for viewing. each change can be viewed in the Word document. When you have finished viewing the changes, close the Word document.
