Legal Spend Summary Dashboard

This article provides an overview of PlatoBI for Quovant Managed Bill Review (MBR) and explains how to use the Legal Spend Summary dashboard.

Overview

 

PlatoBI Legal Spend Summary dashboard provides a comprehensive view of legal expenses by highlighting key metrics and trends. This allows legal teams to make informed decisions and optimize costs.

The Legal Spend Summary dashboard is divided into tabs:

  • Legal Spend Summary
  • Amount Billed & Cases Billed
  • Invoice Count & Processing Time

Legal Spend Metrics in the Legal Spend Summary tab tracks changes in amounts billed, cases billed, the average cost per case, the number of invoices, and on average how much time it takes invoices to be finalized.

Law Firm Analysis in the Legal Spend Summary tab contains the following data:

  • The top ten law firms that contribute to the total amount billed and the discounts that they have applied.

  • Spending divided by category, law firms that contribute to that category, and how many hours law firms have billed.

  • Timekeeper rate analysis by hourly rates, position, and law firm.

  • The top ten expense categories that contribute to the total amount billed.

If you want to learn more about your spending, go to the Amount Billed & Cases Billed tab to see your expenses during this year and compare it to the previous year. Organize your expense analysis on a monthly or quarterly basis.

If you want to learn more about invoices and how much time it has taken to finalize them, go to the Invoice Count & Processing Time tab to see a comparison of the number of invoices during the previous year and this year. Organize invoice count on a monthly or quarterly basis.

Access to PlatoBI

The PlatoBI dashboards are embedded in Quovant. To access PlatoBI from Quovant:

  1. Log in to Quovant.
  2. Click Menu (triple bar) > Reports and Dashboards > PlatoBI.

Main Data Filters

To pull the data by using the main filters:

  1. Click Controls.

  2. Select Client DivisionStateInvoice Status, and Period, if applicable.

Note: Period filter is only available in the Amount Billed & Cases Billed and Invoice Count & Processing Time tabs.

You can reset a filter control by clicking on the three-dots icon 3 dots that appears next to the drop-down list.

 

Note: Some data may not contain any information related to states. When applying filters by State, that data will be grouped under Unknown State.

 

Note: The default time frame established by Claim Closed Date Begin and Claim Closed Date End starts on 01/01/2021 and ends on the current date.

 

Note: Your filter selection is not saved between sessions.

 

Additional Controls

If you click on the top right side of each widget, you will see the additional controls. Note that not all controls may appear on a widget.

Note: Filter the data by using the main filter and then maximize the widget. PlatoBI doesn't let you filter with the widget maximized.

The Legal Spend Summary tab contains widgets that give an instant overview of the financial health of your legal expenses.

The top section contains Legal Spend Metrics:

  • Amount Billed
  • Cases Billed
  • Avg. Case Cost
  • Invoice Count
  • Avg. Processing Time (Days)

These KPI widgets compare two consecutive years data to evaluate if there has been a change in the metrics.

Law Firm Analysis section analyzes law firm expenses by category and by hourly rate. It also provides information about timekeepers hourly rates by position and law firm. Learn which law firms charge flat fees.

Use the main filter to filter data by:

  • Client Division: Depends on the client
  • State: States of jurisdiction
  • Invoice Status: Printed or finalized

Legal Spend Metrics panel consists of the following KPI widgets:

  • Amount Billed
  • Cases Billed
  • Avg. Case Cost
  • Invoice Count
  • Avg. Processing Time (Days)

Note: Click Amount Billed or Cases Billed to go to Amount Billed & Cases Billed tab.

Note: Click Invoice Count or Avg. Processing Time (Days) to go to Invoice Count & Processing Time tab.

Legal spend metrics widgets

Note: If you don't have data from the previous year, the widgets show current year data and can't calculate the percentage change.

Additional Filter

By default, the Legal Spend Metrics widgets compare the two previous years data. Use the KPI Year filter to change options.

KPI year filter

The following table describes the KPI Year options:

Option Description
Current Year The KPI widgets compare current year and previous year data.
Previous Year The KPI widgets compare previous year and the preceding year data.

Amount Billed: The sum of the amount billed minus credits and discounts on the current year (left) and previous year (right). The calculation is a percent change. The sum of the amount billed of the current year is calculated as follows:

AA is the amount billed,
CC is the credit,
DD is the discount.
The sum of the amount billed of the previous year is calculated as follows:

The percent change is calculated as follows: P=100(BcBp)

Additional Filter: Select Previous Year in the KPI Filter to compare the previous year with the year before.

Cases Billed: The cases count on the current year (left) and previous year (right). The calculation is a percent change. The percent change is calculated as follows:

and Cp​ is the case count of previous year.

Additional Filter: Select Previous Year in the KPI Filter to compare the previous year with the year before.

Avg. Case Cost: The average amount billed per case minus credits and discounts on the current year (left) and previous year (right).

The average amount billed of the current year is calculated as follows: Bc=(A1C1D1)+(A2C2D2)+...+(AnCnDn)n\overline{B_c} = \where Bc\overline{B_c} is the average amount billed of the current year,
AA is the amount billed,
CC is the credit,
DD is the discount.

Additional Filter: Select Previous Year in the KPI Filter to compare the previous year with the year before.

Invoice Count: The number of invoices for the current year (left) and previous year (right). The calculation is a percent change. The percent change is calculated as follows: I=100(ItIp)where Iis the invoice count of current year
and Ip is the invoice count of previous year.

Additional Filter: Select Previous Year in the KPI Filter to compare the previous year with the year before.

Avg. Processing Time (Days): This KPI widget counts the number of business days that took each of the invoices to go from status Received to status Finalized reported as an average. Excluded days are weekends, holidays, and days when the invoices were in the law firm or client review queue. The average processing time for the current year shows to the left and the average processing time for the previous year shows to the right. The calculation is a percent change.

The average number of days for the current year is calculated as follows:Dc=(d1+d2+...+dn) / n

Law Firm Analysis

Law Firm Analysis lets you analyze which law firms and categories contribute to your expenses, and how many hours are billed on average.

Additional Filters

Apart from the main filters, use the Invoice Status Start and Invoice Status End filters to select the time frame. Data is limited to the last five years, so even if you choose a period of time that spans more than five years, the data displayed will be limited to five years.

Note: The Invoice Status Start and Invoice Status End filters apply to all widgets under Law Firm Analysis except for the Approved Hourly Rate by Position widget.

Top 10 Law Firms by Amount Billed: The sum of the amount billed minus credits and discounts. Invoices counted are the ones set in the main filter. The KPI widget shows Net Amount BilledRecommended Adjustments, and Realized Adjustments for the top ten law firms that contributed to the amount billed. The remaining law firms are grouped as Other at the bottom.

Approved Hourly Rate by Position: This KPI widget shows all available positions for a client. Each position belongs to several law firms. Next to the law firm is the average hourly rate for that position. The average hourly rate is based on all received invoices in the last 18 months.

Top 10 Adjustment Categories by Realized Adjustments: This chart shows the top ten categories that had the highest fee adjustments. The rest of the categories are grouped as Other.

Note: If Recommended Adjustments is greater than Realized Adjustments, or Recommended Adjustments is a negative amount, it is due to In-House adjustments. For more information, see Known Issues.

Additional drill down option: Use the down-arrow to drill down the analysis by law firm.

Activity Analysis: This KPI widget shows the following data:

  • The law firms that contributed to each fee category.

  • Hrs. Billed shows the total hours billed by each law firm for the Fee Category.

  • % Hrs.Billed shows in which percentage each law firm contributed to all hours billed.

Additional drill down options: Click on the plus sign + to the left of a Fee Category to drill down the analysis by law firm.

The three dots icon 3-dots.png contains the following functions:

  • Use Hide +/- buttons to remove the hide/show functionality. Note that this option takes a snapshot of the table as it is and you cannot show or hide the sections.

  • Use Show +/- buttons to enable the hide/show functionality again.

Top 10 Expense Categories: This chart lists the top ten expenses. The rest of the categories that contribute to expenses are grouped as Other.

Approved Hourly Rate by Position: This KPI widget shows all available positions for a client. Each position belongs to several law firms. Next to the law firm is the average hourly rate for that position. The average hourly rate is based on all received invoices in the last 18 months.

Additional Filters:

Use the Timekeepers Positions filter to select the timekeeper positions (associate, legal assistant, etc.) that you want to include in the analysis.

Note: Approved Hourly Rate by Position: ignores the Invoice Status Start and Invoice Status End filters.

Flat Fee Analysis: Flat fees are analyzed as a different category and not compared to the rest of the expenses. This chart only shows data if flat fees are relevant.

Note that the chart shows the top ten matters that contribute to flat fees. The remaining matters are grouped at the bottom as Other.

Amount Billed & Cases Billed Tab

Amount Billed & Cases Billed lets you analyze your expenses by comparing the amount billed during the previous year and the current year. In that way, you can see if there is a relationship between the increase or decrease in overall legal spend and case count. Hover over the charts to display the exact amount per bar.

Cases Billed YoY Comparison Summarized by Calendar Month/Quarter The count of unique cases on the current year (left) and previous year (right). This chart compares the amount billed in the month or quarter of current and previous years. Period in the main filter. Select Month or Quarter.

Invoice Count & Processing Time Tab

Invoice Count & Processing Time concentrates on the efficiency of invoice processing by doing an invoice count comparison of previous year and current year. It also shows the average processing time for invoices. Hover over the charts to display the exact amount per bar.

Known Issues

Currently known issues are documented in this section:

  • When using the links in the Legal Spend Summary tab, for example, clicking on a KPI widget to get to tab Amount Billed & Cases Billed or tab Invoice Count & Processing Time, link Back to Main Tab in the latter tabs might disappear and instead other text is shown.

  • In widget Top 10 Adjustment Categories by Realized Adjustments, when Recommended Adjustments is greater than Realized Adjustments, or Recommended Adjustments is a negative amount, it is due to In-House adjustments. When In-House adjustments (UFIHA) are included in the realized adjustments, it is possible for realized adjustments to be greater than the recommended adjustments. In Managed Bill Review reporting, In-House adjustments, In-House returns, Law Firm returns and Appeal information are separated to give a better picture.
