Inventory Expiry Notification Settings

Learn how to configure Inventory Expiry Notifications in Management Studio.

Inventory Expiry Notification Settings is the area of Management Studio where notification report emails are configured. The recipients of the notifications are configured in the appropriate Search Template. See “Create Document Inventory Search Template” for an example.

Term

Meaning

Enable Inventory Notification Service

Select to enable the Document Inventory Expiry Notification Service. A report is emailed according to the schedule, time and email settings configured.

When selected, the Inventory Expiry Notification Settings can be edited.

Clear to stop the Document Inventory Expiry Notification Service. When cleared, emails are not sent when documents are soon to expire and the Inventory Expiry Notification Settings cannot be edited.

User

Enter the name of the DataStoreDSX user account which you want to use to send the notification emails.

From Email Address

Enter the email address you want to be displayed in the From field of the email.

Reply To Email Address

Enter the email address you want replies to the notification email to be sent to.

Template Path

Enter the path and the name of the mail merge document which will be used to format the email. The document InventoryExpiryNo- tificationDefault.docx is provided. This document can be edited to customize the email notification which is sent.

Title

Enter the title of the email. This is used as the email Subject and can be added to the body of the email. See “Changing the Document Email Contentsfor details about setting up the mail merge document.

Execution Times

Schedule start time

The date and time at which the Inventory Expiry Notification Service schedule started. To change the schedule’s start date and time to a future date, select Use Start Date and enter the required start date and time here.

Use Start Date

Select to change the Inventory Expiry Notification Service Schedule’s start date and time to a date in the future. See Schedule Start Time.

Clear to start the Inventory Expiry Notification Service immediately.

Schedule end time

The date and time at which the Inventory Expiry Notification Service Schedule will stop running. To change the schedule’s end date and time to a date in the future date, clear Indefinite and enter the required end date and time here.

Indefinite

Select to make the Inventory Expiry Notification Service Schedule run indefinitely.

Clear to change the Inventory Expiry Notification Service Schedule’s end date and time to a date in the future. See Schedule End Time.

Slot Id and details

The configured time slot is summarized. Click the time slot to expand it. It can then be edited.

Daily

Select to display the days of the week. Select the days of the week for which you want to configure the time slot. Enter the time slot’s Start time and End time. The End time must be later than the Start time.

Weekly

Select to display the weekly time slot options. Select the week of the month (first, second, third, fourth or last) for which you want to configure the time slot. Then select the days of the week for which you want to configure the time slot. Enter the time slot’s Start time and End time. The End time must be later than the Start time.

Monthly

Select to display the months of the year. Select the months for which you want to configure the time slot. Next, select On week of month and select the week of the month (first, second, third, fourth or last) for which you want to configure the time slot. Then select the days of the week for which you want to configure the time slot.

Alternatively, select On calendar day(s) and enter the days of the month for which you want to configure the time slot. For example, 1, 8, 15, 22, 29.

Enter the time slot’s Start time and End time. The End time must be later than the Start time.

Yearly

Select to display the yearly time slot configuration options. Enter a value for Repeat this number of years.

Select the months for which you want to configure the time slot. Next, select On week of month and select the week of the month (first, second, third, fourth or last) for which you want to configure the time slot. Then select the days of the week for which you want to configure the time slot.

Alternatively, select On calendar day(s) and enter the days of the month for which you want to configure the time slot. For example, 1, 8, 15, 22, 29.

Enter the time slot’s Start time and End time. The End time must be later than the Start time.
