How to Submit a Request to Create Agreements

EraCLM allows you to submit Requests for the creation of Agreements.

You can submit your Requests by accessing the EraCLM page, through your internal launching page, or a Salesforce integration if your company has this option enabled.

Depending on your framework configuration, the system can automatically assign a person to process these requests, send the request to a dynamic queue, or you can manually assign a person to process the request.

You can also submit Requests by using our EraCLM Express feature if your company has this option enabled. To know more, consult the How to Submit a Request in EraCLM Express section of the EraCLM Express User Guide.

To make an Agreement Request:

  1. Login to EraCLM (https://agree.contractroom.com) using your EraCLM account. The platform displays your Dashboard.

  2. Click the New Agreement button next to the Activity Feed section. Select Request from the dropdown list. The system displays the Start New Request dialog box.

  3. In the Start New Request dialog box:

    • Fill the Name field with the name of your request.
    • Add an optional description.
    • Fill the Company Name field with the name of your company.
    • From Allow offline edits select if you want to edit this request outside of the platform.

    Click Next to go to the Framework Selection Screen

  4. Choose the framework to use as a template for your Request.

    Note

    If you only have one framework assigned to you, the system sets that framework as default. Continue to the next step.

  5. Complete the Document Assembly Assistant. This process is called Conditional Drafting. The request is pre-filled accordingly.

    Note

    If you don't have Conditional Drafting options configured in your framework, ignore this step. EraCLM redirects you to the Contract Editor. To know more about the Contract Editor, refer to Appendix A: Contract Editor

    Click Next. The system displays the Collaboration Settings dialog box.

  6. In the Collaboration Settings dialog box, choose if you want to work alonecreate a new team, or collaborate with an existing team to make this request, and click Next.

    Note

    If you choose to work alone, EraCLM redirects you to the Contract Editor.

    If you select I will work with an existing team, select from the dropdown list the request or Agreement where you worked with the team you want for this new request. Click Next. The system adds this team to your new request.

    Note

    To know more about team creation, refer to How to Create a Negotiation Team.

    Confirm the members of the existing team and their assigned actions. Modify if needed and click Next. The system displays the Contract Editor.

  7. Enter the email of your counterparty, confirm the email in the following field, and enter the company of the counterparty who will be receiving this Agreement. Click Next, the system displays the Contract Editor.

  8. Review your generated request, fill the term tags if applicable, and edit text from your request according to your needs.

    Note

    When you finish drafting, the system highlights the Next icon in red (indicated with an arrow).

  9. Click the Next icon. The system displays the Begin collaboration dialog box. Add a comment if needed and click Send.

After you complete these steps, the system displays the message Congratulations! Your request has been submitted for processing. Click View agreements to go back to the Agreement listing, click Create new request to start creating a new Request, or click the X mark to close the dialog box.


Requests Management (Queues)

EraCLM allows you to prioritize, distribute, and assign the creation of Agreements based on Requests made by other users.

Depending on your framework configuration, the system sends the Request to a pre-set Queue. Platform Admins set up this Queues and allows users to distribute the workload, and redirect these Requests to the appropriate people.

To be able to undertake a request or assign it to someone else, the system requires you to be part of the Queue Member List defined by the Platform Admin.


Assigning Requests in Queues

To assign a request to a user as a Group Admin:

  1. Login to EraCLM (https://agree.contractroom.com) using your EraCLM account. The platform displays your Dashboard.

  2. Click the Queues tab on the navigation bar located on the top of the page. The system displays the Queues screen.

  3. Locate your request in the New & Pending Assignment section on the left side of the screen, or search manually on the search bar.

  4. Once you find your Request, click the Assign to icon. The system shows a dropdown menu with the Queue Members List.

  5. Choose the person to process this Request from the Queue Members List. Add a personal comment and click Save.

You successfully assigned the Request to a user.


Processing a Request in Queues

To undertake a Request from Queues to process:

  1. Login to EraCLM (https://agree.contractroom.com) using your EraCLM account. The platform displays your Dashboard.

  2. Click the Queues tab on the navigation bar located on the top of the page. The system displays the Queues screen.

  3. Locate your request in the New & Pending Assignment section on the left side of the screen, or search manually on the search bar.

  4. Once you find your Request, click the Take it icon. The system shows a dropdown menu with the options to Start now and Add to your list. Choose accordingly.

  5. Add a personal comment and click Save. The system redirects you to the Acceptance Screen.

  6. Click Accept. The system displays the Acceptance date dialog box.

  7. Corroborate the Acceptance date and click Accept. Click Close or Download PDF to save a copy of this Request to your local machine.

Once you accept this Request, you can proceed with the creation of your Agreement. To do so, create a Child Agreement of the accepted Requested in the Agreement Listing. For more information, refer to Creating a Child Agreement.
