This page details the list of enhancements/improvements and Known Issues in the Collaborati 5.4 Release.

Release Summary

Collaborati 5.4 delivers significant updates primarily focused on enhancing security through a comprehensive overhaul of Multi-Factor Authentication (MFA) and streamlining various Invoice, Client, and Firm Admins processes.

  • Trust this Browser: During the login process, users can skip the required MFA step for 30 days on the same browser and device. Trust this browser for 30 days displays on the MFA verification screen (for both app-based and email-based MFA).
  • User Onboarding & Firm Admin Tools: PDF Upload is now defaulted to ON for new users and their Active Offices to streamline onboarding. A new portal pane has been added to the Home Page for Firm Admins, providing direct access to the Collaborati Feature Portal.

Enhancements/Improvements

Enhancement: Global Multi-Factor Authentication (MFA) Feature Toggle for Mitratech Admins.
Description: A new Global MFA Setting checkbox has been added to the System Feature Settings page, visible only to Mitratech Admins. This feature allows M-Admins to enable or disable Multi-Factor Authentication (MFA) for all user types with a single toggle. By default, MFA is enabled for everyone. When the checkbox is unchecked, MFA checks are disabled for all users no MFA-related emails or app prompts will appear at login. When re-enabled, normal MFA checks resume for users who have MFA enabled at the user level. This is especially useful for temporarily bypassing MFA during outages, testing, or emergency access scenarios.

Enhancement: M-Admin Enables Multi-Factor Authentication (MFA) at the Firm Level.
Description: A new checkbox toggle labeled Multi-Factor Authentication has been added under the Firm Profile page. This allows M-Admins to enable or disable MFA for the entire firm. When enabled, all users in the firm are required to complete MFA before accessing Collaborati. The checkbox updates to “Enabled” when MFA is active. If unchecked, MFA is disabled for the firm. The setting at the firm level takes precedence over user-level MFA settings when turned on, and reverts to user-level control when turned off. The enablement for F-Admin has been removed as part of this update. Both Firm Admin and Firm User are navigated to the MFA page when MFA is enabled at either the user or firm level. By default, MFA will be enabled for all existing and new firms.

Enhancement: M-Admin Enables Multi-Factor Authentication (MFA) at the User Level.
Description: A new checkbox toggle labeled Multi-Factor Authentication has been added under the User Profile page, allowing M-Admins to enable or disable MFA for individual users. When checked, MFA is enabled for that user and the checkbox updates to “Enabled”. When unchecked, MFA is disabled for that user. Only Mitratech Admins can enable or disable MFA for any user; Firm Admins cannot see or modify this setting. The enablement option for F-Admin has been removed. When MFA is enabled, users are prompted to complete MFA at login; when disabled, the MFA prompt is not shown.

Enhancement: User Verifies Email to Continue MFA Setup.
Description: Collaborati now requires users to verify their registered email address before setting up Multi-Factor Authentication (MFA). When MFA is enabled at the firm or user level, users are presented with clear instructions and a Send Email button. Clicking this button sends a one-time, 6-digit verification code to the user’s email, valid for 10 minutes. Users must enter this code to proceed with MFA device registration, ensuring that MFA setup is secure and tied to a verified communication channel. If users prefer to set up an Authenticator App–based login later, they can switch to email-based verification.

Enhancement: User Multi-Factor Authentication (MFA) using Email authentication.
Description: Collaborati now supports email-based Multi-Factor Authentication (MFA) as an alternative to authenticator apps. Users can request a temporary 6-digit code sent to their registered email address by clicking the Send Email button on the MFA screen. The code is valid for 10 minutes, and the button is temporarily disabled for 30 seconds to prevent multiple requests. Users can enter the code in the provided field to complete verification, with clear error messages if the code is invalid or expired. There’s also an easy option to switch back to authenticator-based MFA at any time, giving users flexibility and secure access even without a mobile device.

Enhancement: User Multi-Factor Authentication (MFA) using Authenticator App.
Description: Collaborati now allows users to register their device for Multi-Factor Authentication (MFA) using an authenticator app such as Google Authenticator, and Microsoft Authenticator. After verifying their email, users are presented with a QR code and step-by-step instructions to scan and register their device. Once registered, users can enter a 6-digit code from their authenticator app to complete setup. If the code is invalid or expired, a clear error message is displayed. There’s also an option to switch to email-based registration if preferred. This enhancement provides a secure and flexible way for users to manage MFA during every login.

Enhancement: Trust This Browser for 30 Days.
Description: Collaborati users now have the option to Trust this browser for 30 days after successfully completing Multi-Factor Authentication (MFA). A new checkbox appears on the MFA verification screen (for both app-based and email-based MFA), allowing users to skip MFA prompts for 30 days on the same browser and device. The feature includes a helpful tooltip explaining that MFA will only be skipped if cookies remain intact and security settings are unchanged. After 30 days, or if cookies are cleared or the user switches browsers/devices, MFA will be required again. For added security, only one browser can be trusted per user at a time.

Enhancement: User can Reset MFA Device from User profile page.
Description: Collaborati users can now reset their Multi-Factor Authentication (MFA) device directly from their user profile. By clicking the new Reset My MFA Device link, users can clear their existing MFA configuration and will see a confirmation message. The reset option is then disabled until a new device is registered. On their next login, users are automatically prompted to register a new MFA device, making it easy to switch devices without needing admin or support assistance.

Enhancement: Embed Product Board Link for Collaborati Firm Admins (HomePage).
Description: A new portal pane has been added to the Collaborati Home page, visible only to Firm Admin Users, providing direct access to the Collaborati Feature Portal. This pane allows Firm Admins to review released and upcoming features, submit enhancement ideas, and interact with the product roadmap. M-Admins now have new controls in System Feature Settings to enable or disable the portal pane, and a dedicated section in System Options to update the Feature Portal URL. The feature is enabled by default, but can be toggled off if needed. The portal link is refreshed every three months for security, and only Firm Admins can see the portal.

Enhancement: Update Collaborati invoice email to include Contact your client messaging.
Description: The Collaborati invoice notification emails have been updated to remove the Mitratech Support contact details and instead direct vendors to contact their client for invoice-related questions. The client’s name and address now appear below the “View details” button in the email, following this template:

If the country is outside the US and there isn’t a two-letter state code, the full state name is shown. These changes apply to all invoice statuses (Approved, Rejected, Adjusted, and Paid). This update helps ensure vendors reach out to the correct party and reduces unnecessary support cases to Mitratech.

Enhancement: New Collaborati field for China Invoices (VAT Fapio Type).
Description: A new required field, VAT Fapio Type, has been added to the Collaborati invoice UI. This dropdown field appears for invoices with non-USD currency or non-US taxes to support compliance with China's VAT invoicing requirements. Users can select from --Select--, General, or Special. The field is grouped with other Tax Authority fields for ease of use.

This new field will sync to TeamConnect/CSM upon invoice creation and subsequent updates.

Enhancement: Default PDF Upload Enabled for New users and Active Offices.
Description: For all newly created users in Collaborati, the PDF Upload setting is now enabled (ON) by default. Additionally, when a new office associated with a client is set to Active status, the PDF Upload setting for that office is automatically set to YES, regardless of the client’s current PDF setting. If an office is not Active, its PDF Upload setting remains OFF. This update streamlines onboarding and ensures that new users and their active offices can immediately utilize PDF uploads without manual configuration.

Enhancement: Add missing data fields on PDF Invoice Details Export on Invoices Page.
Description: The Export Invoice Details function on both the PDF Invoice page (for M-Support QA Invoice Review users) and the Invoice Tracking Page now includes two new columns:

These additions improve data tracking and reporting, especially for multi-office firms and for monitoring invoice creation activity. The changes are available to both Firm Admins and M-Support QA Invoice Review users.

Enhancement: Change the line item type from Expense to Fees or Fees to Expense.
Description: For QA PDF Invoice Review users, it’s now possible to edit the type of an extracted line item directly from the edit line item page switching between Fee and Expense without needing to delete and recreate the item. When the line item type is changed, all other details (description, amount, date, etc.) are preserved, and the form updates relevant fields based on the new type. The dropdown for item type includes Fee and Expense options. This enhancement streamlines invoice review, improves efficiency, and reduces manual work.
Note: Only QA PDF Invoice Review users can make these changes; Firm Admin and Firm users cannot.

Issue: Assign Offices to users function was not correctly displaying all registered offices.

Issue: The Timekeeper Authorization Wizard no longer displays 'cjb.timekeeperName' and instead shows the actual timekeeper name in the 'View Previously Unauthorized Timekeepers' section.

Issue: Resolved an internal error that M-Admin or Support Admin users would encounter when attempting to remove a client-office association.
