Troubleshooting Invoice Creation

The following table displays possible scenarios to troubleshoot from the Create Invoices screens (top of page).

Issues with Creating Invoices and Resolutions

If you cannot find a specific client from the Create Invoice screen > (Step 1) Header > Bill Invoice to: drop-down list...

Related error: Please select a client to Bill Invoice to.

Verify that the client name displays under the Clients tab. If it does not, please contact Mitratech Support.

If you cannot find the right fee (or task) code from the Create Invoice screen > (Step 2) Line Items > Fee (or Task) drop-down list...

Related error: Please select a Fee code.

Verify that the fee (task) code listed in the Collaborati: Clients tab > client link for the client referenced in your invoice file > Codes link > Task Codes. If not, contact your client.

NOTE: If the code is listed but the Use check-box is cleared, it will not appear in the drop-down list. You must select the Use check-box for the codes you want to use.

If you cannot find the right expense code from the Create Invoice screen > (Step 2) Line Items > Exp drop-down list...

Related error: Please select an Expense code.

Verify that the expense code listed in the Collaborati: Clients tab > client link for the client referenced in your invoice file > Codes> Expense Codes. If not, contact your client.

NOTE: If the code is listed but the Use check-box is not selected, the code will not appear in the drop-down list. You must select the Use check-box for the codes you want to use.

If you cannot find the right timekeeper from the Create Invoice screen > (Step 2) Line Items > TK drop-down list...

Related error: Please select a timekeeper.

Verify that the timekeeper is listed in the Collaborati: Clients tab > client link for the client referenced in your invoice file > Timekeepers. If not, here are a few possible reasons:

The timekeeper has not been added to Collaborati. Please check if the timekeeper appears in the list under the Timekeepers tab. If not, add this timekeeper.

NOTE: Depending on your client settings, you may need to get client authorization for this timekeeper before you can create an invoice referencing this timekeeper.

The timekeeper has not been assigned to this client. Please check that the timekeeper, listed under the Timekeepers tab, has a check for the client box (for the client referenced in your invoice). If not, check the client box.

NOTE: Depending on your client settings, you may need to get client authorization for this timekeeper before you can upload invoices for this timekeeper.

The client has not authorized your timekeeper. Please verify that the timekeeper listed in the Collaborati: Clients tab > client link for the client referenced in your invoice file > Timekeepers has Status Authorized. If not, contact your client.

If you cannot find the right activity code from the Create Invoice screen > (Step 2) Line Items > Activity drop-down list...

Verify that the activity code listed in the Collaborati: Clients tab > client link for the client referenced in your invoice file > Codes> Activity Codes. If not, contact your client.

NOTE: If the code is listed but its Use check-box is cleared, the code will not appear in the drop-down list. You must select the Use check-box for the codes you want to use.

If you cannot find the right matter from the Create Invoice screen > (Step 2) Line Items > Matter drop-down list...

Related error: Please select a Matter.

Verify that the matter is listed on the Collaborati: Clients tab > client link for the client referenced in your invoice file > Matters > Matter No. If not, contact your client.

If you cannot find the right Non-US Tax code from the Create Invoice screen > (Step 3) Discounts and Taxes > Tax Description drop-down list...

Verify that the expense code listed in the Collaborati: Clients tab > client link for the client referenced in your invoice file > Codes> Non-US Tax Codes. If not, contact your client.

NOTE: If the code is listed but the Use check-box is not selected, the code will not appear in the drop-down list. You must select the Use check-box for the codes you want to use.

If you cannot find the right Matter from the Create Invoice screen > (Step 3) Discounts and Taxes > Matters drop-down list...

Verify that the matter is listed on the Collaborati: Clients tab > client link for the client referenced in your invoice file > Matters > Matter No. If not, contact your client.
