How do I check on the status of my invoices?

You can see the status of your invoices at any time in the Track Invoices screen under the Invoices tab. The Track Invoices table includes the date of the most recent status change.

Note: that approved, paid or rejected invoices are deleted after a maximum of 90 days depending on the Vendor Settings.

What does it mean/what to do

Ready to Submit

The invoice that has been created (see Help Checking the Status of an Invoice) in Collaborati does not contain errors and can be submitted to the client at any time.

You can submit the invoice to the client by clicking on the Submit button displayed next to the status, or from the individual invoice.

Waiting for Client to Accept

The invoice that is contained in your uploaded file (see How do I upload invoices?) does not contain errors and can be submitted to client at any time within your file submission (see How do I submit uploaded invoices?).

Client should normally receive your invoices shortly. However, there may be delay in client invoice retrieval due to the client system overload, technical issues, or client Administrative issues. If this status lasts more than a few hours, contact Mitratech Support

Pending Client Approval

The invoice has been received by the client and is in the approval workflow.

You can view the status change of your invoice later, or contact your client to check on the progress of the approval process.

Approved

The invoice has been approved.

You can click on the Invoice Number to view the details (such as client adjustments, client comments, etc.)

Rejected

The invoice has been rejected.

You can click on the Invoice Number to view the details (such as rejection reason, client comments, etc.)

Error

The invoice includes at least one error.

Click the file to view error details. Remove any files with errors to submit the invoice. See Troubleshooting Uploaded Invoices to fix the file with errors.

Paid

The client has paid the invoice.

(Only available if the client shares invoice payment status) You can click on the Invoice Number to view one or more of the following: Amount Paid, Date (of invoice payment), Check (Check number), or PO Number.
