Webinar # 1 “New Firm Structure” Questions & Answers

 

Question 1: Does the updated firm structure also include combining Oracle or other downstream program instances? Context: Billing to Firm X requires an Oracle login. Will the remainder of the firm's clients require an additional login?

Answer:  This should not have any affect on your firm’s “New Firm Structure”, however, if you would like to submit a case to our dedicated support team and we can look into your firm’s specific concern.  Be sure to check the box indicating your ticket relates to the Multi-Currencies Project.

 

Question 2: What login will become the default or will we need to create a new one for the new structure?

Answer: Your firm will decide on what logins need to remain and which ones go away, for example, you may have logins that are outdated or others that can be deleted or updated. An example of this could be when a person gets married or no longer works for the firm. This can be a great opportunity for data clean up.

 

Question 3: When would you like our firm’s “New Firm Structure” details back to you?

Answer: We are looking for multi office firms survey responses by May 22nd.

 

Question 4: Why do clients have to approve timekeeper profiles? This extra time-consuming step would like to be more clearly understood.

Answer: This is a setting that all Collaborati users can opt-in or opt-out of making a requirement. Typically this requirement is used as a form of checks and balances in order to have timekeeper profiles/rates approved. This setting is most often used because each timekeeper profile is associated with the timekeeper’s agreed upon billable rate which can vary greatly especially among the multiple offices the timekeeper bills to.

 

Question 5: How will instances be addressed with profiles where we have one office address but an additional address for payments.

Answer: This will not be an issue. You will be able to add as many “child office” locations as you need to as part of the survey and they will be associated with the “parent office” you designate.

 

Question 6: When we log in to Collaborati, we have one link per client (no association to each other) that we upload for, we don’t have access to different “offices”.  Will these changes affect my team?  If I’m following this correctly, this will not affect us.

Answer: Correct.  If your clients have no association with one another then, no, this will have no effect on you and your team.

 

Question 7: My Law Firm is a single office firm, has anything actually changed for us, other than uploading our data again?

Answer: All single office firms were updated to the “New Firm Structure” Sunday, April 26th. All this means is that if your firm decides to add an office in the future, you will have the ability to set up additional offices in the “New Firm Structure”.

 

Question 8: How is remit info managed? just to clarify on how remit info is managed each one of our foreign offices has different banking instructions on how to ensure payment is made to the right account?

Answer: Please follow up with our dedicated support team to submit a case.  Be sure to check the box indicating your ticket relates to the Multi-Currencies Project.

 

Question 9: Has Mitratech been working with eBillingHub on how this will work with the mutual API?

Answer: We are not working with eBillingHub, please check with them directly on this or please submit a case to our dedicated support team. Be sure to check the box indicating your ticket relates to the Multi-Currencies Project.

 

Question 10: What if the Client requires a separate log-in? Context: We have 2 clients on one log-in and 8-10 clients on another.

Answer: You can request that certain clients remain in a siloed or single office firm structure rather than the parent/child organization associated with the “New Firms Structure”. You can provide Mitratech the particulars of that organizational request by filling out our survey.

 

Question 11: Will you make the slides from this presentation available after this is over?

Answer: Please watch the webinar recording and revisit the slide deck shown during the webinar. Tip! Phase II: “Timekeeper Merge” Questions:

 

Question 13: How are duplicate timekeeper profiles going to be handled if ids are the same but info in the profile is different?

Answer: This is a broader topic that we will be discussing with firms in Phase II of the Project. We will begin broaching that subject in late July, early August.

 

Question 14: Can rates span across the firm profile? Context: We have a global rate agreement we would not be adding rates office by office.
